Job Title: Executive Assistant (Remote) – Executive, HR & Operations
Reports To: CEO – Socienta

Job Summary:

Socienta is looking for a highly skilled and versatile Executive Assistant to provide comprehensive support across executive, HR, and operational functions. This mixed-role position goes beyond traditional administrative duties, requiring leadership in HR processes, operational initiatives, and executive-level support. The Executive Assistant will act as a trusted partner to the CEO, ensuring smooth communication, effective project execution, and alignment with strategic objectives.

Key Responsibilities:

Executive Support:

  • Serve as the CEO’s right hand, managing schedules, meetings, and priorities
  • Represent the CEO in meetings, providing summaries and following up on action items
  • Draft, proofread, and manage communications, reports, and presentations

HR Responsibilities:

  • Support recruitment, onboarding, and employee engagement initiatives
  • Assist in performance management, HR policies, and employee relations
  • Maintain confidential HR records and ensure compliance with organizational policies

Operations & Project Management:

  • Lead and manage cross-functional projects from initiation to completion
  • Coordinate with department heads to drive strategic initiatives and track outcomes
  • Negotiate agreements and contracts with vendors and partners
  • Streamline workflows and administrative processes to enhance operational efficiency
  • Assist in budget preparation, expense tracking, and reporting

Key Performance Indicators (KPIs):

  • Timely completion of executive, HR, and operational projects
  • High-quality representation of the CEO and organization in communications
  • Effective management of CEO schedule and priorities
  • Successful negotiation and management of contracts and vendor agreements
  • Accurate and consistent delivery of reports, presentations, and other materials

Requirements

  • Bachelor’s degree in Business Administration, Human Resources, Management, or a related field (Master’s preferred)
  • Minimum of 5 years of experience in executive support, HR, or operations
  • Demonstrated ability to manage complex schedules, projects, and cross-departmental initiatives
  • Familiarity with HR systems, operational processes, and organizational policies
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and collaboration tools (e.g., Slack and Teams)
  • Strong problem-solving, analytical, and strategic thinking skills
  • Ability to work independently, prioritize tasks, and manage multiple deadlines in a fast-paced environment
