We are currently hiring a Lead Site Payment Specialist to join our team on a permanent basis in Poland! In this role, you will have the opportunity to execute and maintain site finance activities for clinical trials on behalf of sponsors. This includes site setup, subject visit information, investigator management, payment processing, and sponsor reporting. You will collaborate across Business Development, Contracts & Proposals, Legal, Operations, and Finance teams, and ensure seamless financial operations and compliance with contractual obligations.

Responsibilities
- Liaise with Legal, Operations, and Finance teams for Investigator Grant Payment (IGP) setup and maintenance on an ongoing basis.
- Drive continuous improvements in the site payment process, leveraging automation, centralization, and best practices; evaluate and implement systems or technologies to enhance efficiency and transparency in payment processing
- Serve as primary point of contact for internal and external stakeholders regarding site payments
- Set up sites, subject visit information, investigators, subcontractors, and other relevant parties in the payment systems & templates
- Manage ongoing site payments, queries, and invoice requests as required.
- Review Clinical Trial Agreements (CTAs) against sponsor budgets to ensure timely budget amendments, addressing deviations, and keeping key stakeholders informed of changes or requirements.
- Utilize multiple platforms and retrieve data from a variety of systems to provide accruals and forecasting for sponsor reporting.
- Liaise with Accounting to ensure sufficient IGP funds are available for site payments.
- Escalate ambiguous payment information to contract negotiators for clarification
Requirements
- Bachelor’s degree or international equivalent in finance, technical, clinical, or health-related fields, or equivalent education and experience, along with 5–7 years of hands-on experience in global site finance activities or clinical trial finance, and milestone-based payment structures with expertise in reviewing and interpreting payment terms in CTAs.
- Strong Communicator: Demonstrate written, verbal and presentation skills to help showcase the successes of your work and Rho’s.
