Back Office Specialist with Italian - Remote from Spain
Job Overview
We are looking for a detail-oriented and autonomous Back Office Specialist to manage relocation cases for client equipment transfers between sites. Each case operates as a mini-project, requiring administrative coordination, budget negotiation, and collaboration across departments.
Main responsibilities:
- Working on quotes / quote acceptance and customer returns / Tracking numbers & missing documentation.
- Working with the relocation team and schedulers to ensure the Purchase Order is available to cover transportation services etc.
- Contacting customers and supplying all necessary documents and information.
- Explaining to the customer how the quote is set up, clarifying questions concerning trail and labor as well as part prices and discounts.
- Contact the customer and arrange the pick up with the carrier, when parts need to be collected
- Do the follow up with the customer after shipping the replacement parts of the defective module
Requirements
- Experience on data management, quality and cleaning
- Native/advanced level of Italian and Spanish
- B2 level of English or higher.
- Experienced user in CRM.
- Quick to learn new processes and tools
- Good verbal and written communication skills in appropriate language.
- Motivation & personality for seeking customer satisfaction and resolution.
- Ability to take initiative, prioritize, and manage time effectively.
- Candidates must be located in Spain
