Back Office Specialist with Italian - Remote from Spain

Job Overview

We are looking for a detail-oriented and autonomous Back Office Specialist to manage relocation cases for client equipment transfers between sites. Each case operates as a mini-project, requiring administrative coordination, budget negotiation, and collaboration across departments.

Main responsibilities:

  • Working on quotes / quote acceptance and customer returns / Tracking numbers & missing documentation.
  • Working with the relocation team and schedulers to ensure the Purchase Order is available to cover transportation services etc.
  • Contacting customers and supplying all necessary documents and information.
  • Explaining to the customer how the quote is set up, clarifying questions concerning trail and labor as well as part prices and discounts.
  • Contact the customer and arrange the pick up with the carrier, when parts need to be collected
  • Do the follow up with the customer after shipping the replacement parts of the defective module

Requirements

    • Experience on data management, quality and cleaning
    • Native/advanced level of Italian and Spanish
    • B2 level of English or higher.
    • Experienced user in CRM.
    • Quick to learn new processes and tools
    • Good verbal and written communication skills in appropriate language.
    • Motivation & personality for seeking customer satisfaction and resolution.
    • Ability to take initiative, prioritize, and manage time effectively.
    • Candidates must be located in Spain
