Job Overview

As a Client Services Officer, your role will be to assist in delivering an effective provision of administrative and client relations support to the Portfolio Management, Stockbroking, and Wealth Planning teams including producing valuations, liaison with Operations Centre, assisting clients with online queries, payments and asset transfers, day to day support work plus instructions and liaison in respect of non-nominee clients and funds.

Key Responsibilities

Account opening, ongoing maintenance and closures
  • Assist the portfolio managers/stockbrokers/wealth planners with the processing of new accounts and trigger events (change of address, change of contact details etc), ensuring procedure is followed, CRMs are raised and instructions to COB/CDD are clear
  • Prepare account opening confirmation letters and letters confirming service type changes and confirming fee changes
  • Maintain the portfolio management structures in the core operating system
  • Manage the pending closure process and ensure the procedure is followed and checklist is fully completed to the point of actual closure
  • Input static data amendments (change of exec codes, management fees, email addresses)

Reporting tasks
  • Send out of monthly valuations to clients
  • Assist with the preparation of any bespoke reporting requirements as requested by the portfolio managers/stockbrokers
  • Reconcile any non-nominee clients as required to ensure reporting is correct, ensuring statements are received from the various custodians and the system is correctly amended
  • Coordinate electronic data reporting to clients including liaising with clients at the outset, dealing with any ongoing queries and requesting and testing changes to the data reports as required by clients
  • Prepare ad-hoc client reports as requested by clients and portfolio managers/stockbrokers.

Implementation of client instructions
  •  Arrange client payments including call backs
  • Record incoming cheques and arrange for them to be paid into the bank
  • Coordinate the transfer out of assets
  • Update book costs as requested by clients and/or portfolio managers/stockbrokers/wealth planners
  • Place FX instructions as requested or required for the purpose of a payment

Administration of the online client portal
  • Assist private clients with queries relating to the online portal
  • Monitor the online mailbox for queries
  • Issue access agreements and user schedules for the set up of new intermediaries on the portal
  • Maintain the intermediary access for those not managing it themselves and ensuring user schedules are updated at all times.

Skills, Knowledge and Expertise

  • Client Services experience preferably within the finance industry
  • Proficient in understanding new systems
  • An understanding of identifying and meeting client needs and providing excellent customer service
  • Excellent communication skills both on the phone and in writing
  • Excellent attention to detail and proven accuracy skills
  • Ability to work methodically whilst under pressure
  • Experience of working with numbers and proficient in Excel
