Summary

The Payroll Specialist plays a key role within the People Team, ensuring accurate and timely payroll processing for all employees while supporting the needs of a rapidly growing organization. This role maintains payroll records, audits timekeeping data, verifies earnings and deductions, and ensures compliance with internal policies and payroll requirements. The Payroll Specialist collaborates closely with HR to resolve issues, support payroll and benefits accuracy throughout the employee lifecycle, and continuously refine payroll processes. They serve as a reliable resource for employees and managers by providing clear, timely, and exceptional payroll-related support

Duties and Responsibilities

  • Complete end-to-end payroll for multi-state operations, ensuring accurate and on-time processing for weekly/biweekly cycles.
  • Review and verify timecards, hours worked, overtime, and all paid/unpaid leaves.
  • Process updates for new hires, terminations, pay changes, and other employee data in the payroll system
  • Verify all earnings, deductions, commissions, bonuses, stipends, reimbursements, and garnishments.
  • Prepare manual checks and wage adjustments when needed.
  • Ensure payroll transactions comply with company policies and applicable requirements.
  • Audit payroll data regularly, identify discrepancies, and resolve issues promptly in collaboration with HR and leadership.
  • Maintain accurate and compliant payroll records and documentation.
  • Assist with payroll tax filings, withholding forms, and year-end processing (W-2s/1099s) alongside the Payroll Analyst and/or HR Manager.
  • Support internal or external payroll audits and accounting reconciliations.
  • Provide timely, friendly, and professional payroll support to employees, including questions related to pay, deductions, and 401(k).
  • Educate employees and managers on payroll processes when needed.
  • Maintain exceptional confidentiality and financial integrity at all times.
  • Work closely with HR and Finance to ensure alignment between payroll, benefits, and accounting.
  • Monitor the payroll inbox, responding or routing information to appropriate team members.
  • Participate in projects to improve payroll processes and system efficiency.
  • Additional duties and responsibilities may be assigned based on business needs

Qualifications

  • 2+ years of payroll experience (Payroll Specialist or Coordinator. 
  • Proficient understanding of accounting fundamentals and payroll best practices; multi-state payroll processing experience is a plus. 
  • Experience with Payroll or Human Resource software (e.g. UKG, Paycom, ADP, Bamboo, etc). 
  • Ability to maintain knowledge of local, state, and federal regulations affecting payroll, and the skills to research applicable information. 
  • Experience in data collection, entry, and reporting with attention to detail. 
  • Strong interpersonal skills and ability to professionally interact with managers, staff and officers at all levels of the organization with diplomacy and professionalism.
  • Computer Skills: Microsoft suite (core applications), Google, Slack, experience in Jira and/or other management platforms and software preferred. 
  • Language Skills: Must be able to effectively communicate in English, both verbally and written. 
  • Math Skills: Possess basic mathematical skills; addition, subtraction, multiplication and division. 
  • Will be required to submit to a background check. 
  • Must obtain all applicable state-required permits, licenses, and certifications.
