We are looking for an AI & Automation Project Manager to lead and manage a growing portfolio of internal AI and automation initiatives across the company. This role focuses on workflow optimization, productivity improvement, and process automation by working closely with cross-functional business teams and AI/Automation engineers.
The ideal candidate acts as a bridge between business stakeholders and technical teams, translating operational pain points into clear automation or AI opportunities, and driving projects from discovery through delivery.
Key Responsibilities
- Business Discovery & Requirement Analysis
- Receive and analyze requests related to AI, automation, and productivity improvement from internal teams.
- Deeply understand business processes, workflows, and operational challenges across departments (e.g. Operations, Marketing, Sales, Finance, HR, PM, etc.).
- Identify inefficiencies, bottlenecks, repetitive tasks, and opportunities where AI or automation can add value.
- Stakeholder Collaboration
- Work closely with team members, team leads, and department heads to gather insights, clarify pain points, and validate requirements.
- Facilitate workshops, interviews, or working sessions to map current-state and future-state workflows.
- Documentation & Solution Framing
- Document business requirements, workflows, user journeys, and success metrics in a clear and structured way.
- Translate business needs into well-defined problem statements, use cases, and functional requirements for AI/Automation teams.
- Collaborate with AI/Automation engineers to assess feasibility, complexity, risks, and expected impact.
- Project Planning & Delivery
- Own end-to-end project management for AI/Automation initiatives, from discovery to delivery.
- Define project scope, milestones, releases, timelines, and dependencies.
- Manage priorities across multiple projects and ensure alignment with business goals.
- Coordinate internal communication, progress updates, and release planning.
- Ensure delivered solutions (tools, pipelines, automations, internal systems, etc.) meet business expectations and drive measurable productivity gains.
- Continuous Improvement & Adoption
- Track project outcomes and measure impact (time saved, cost reduction, productivity improvement, quality improvement, etc.).
- Support change management, documentation, and internal adoption of new tools or automated workflows.
- Continuously identify new AI/automation opportunities across the organisation.
Qualifications
- Experience as a project manager on cross-functional projects
- Strong understanding of process optimization, workflow design, and automation concepts.
- Strong analytical and problem-solving skills; able to structure ambiguous requests into actionable plans.
- Excellent English communication skills (spoken and written) with international stakeholders.
- Strong documentation, presentation, and stakeholder management skills.
- Comfortable with ambiguity and evolving requirements in a fast-paced environment.
- Proficient with collaboration/project tools (e.g., Asana, MS Teams, Zoom).
- Agile mindset with iterative delivery and continuous feedback. | Business justification.
