Why does this role exist?
This is a backfill for a resigning staff member and is critical to maintaining accurate, timely bookkeeping across multiple entities and locations. The role exists to support the Senior Accountant and AR/AP teams with daily revenue audits, reconciliations, and bi-weekly management fee invoicing, ensuring clean books and reliable cash flow visibility. The ultimate objective is to safeguard financial integrity and support operational excellence as the portfolio continues to grow.

The Impact you’ll make

Daily Revenue Audit & Reconciliation
  • Audit daily sales number reports and update Google Sheets
  • Audit online sales/membership credit card autopay and assign to the correct location
  • Reconcile daily credit card and cash deposits; run membership reports and update numbers in Google Sheets

Accounts Receivable & Invoicing
  • Prepare and send bi-weekly management fee invoices; coordinate updates for payment processing
  • Track AR status, follow up on outstanding balances, and maintain accurate aging
  • Send email updates with totals and storage invoices to stakeholders

General Ledger & Multi-Entity Bookkeeping
  • Maintain books across holding entities and multiple LLCs in QuickBooks
  • Post DR/CR entries and perform bank/credit card reconciliations
  • Support month-end close, variance checks, and audit trails in collaboration with the Senior Accountant

Compliance, Accuracy & Problem Resolution
  • Ensure data accuracy and consistency between POS/membership systems, deposits, and QuickBooks
  • Investigate and resolve discrepancies promptly; document findings and corrections
  • Maintain organized financial records and supporting documentation

Reporting & Collaboration
  • Prepare routine summaries/dashboards from Google Sheets and QuickBooks for leadership
  • Partner closely with the Senior Accountant and AR/AP teams to streamline workflows and improve processes
  • Support ad hoc reporting needs across multiple locations/entities

Skills, Knowledge and Expertise

Required:
  • 2+ years of bookkeeping in one or more of the following: real estate bookkeeping (including holding entities/multiple LLCs), property management bookkeeping, or fitness-related businesses with comparable complexity
  • Advanced QuickBooks experience (Online and/or Desktop) with multi-entity workflows
  • Strong command of double-entry accounting (DRs and CRs), bank/credit card reconciliations, and revenue recognition
  • Hands-on experience auditing daily sales, membership/CC autopays, and deposit reconciliation across multiple locations
  • Fluent, clear English communication; reliable home internet/equipment; available Monday–Friday, 9:00 AM–5:00 PM EST
  • WFH Set-Up:
    • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
    • Internet speed of at least 40MBPS
    • Headset with an extended mic that has noise cancellation and a webcam
    • Back-up computer and internet connection
    • Quiet, dedicated workspace at home
