Our client is a fast-growing, U.S.-based business law firm that serves entrepreneurs and innovative companies across multiple offices. They run on modern, cloud-based systems and value precision, confidentiality, and proactive communication in their finance operations. You’ll join their centralized billing function to keep timekeeping, invoicing, trust accounting, and reporting running smoothly at scale.

Why does this role exist?
The firm is expanding and needs a dedicated Billing Coordinator to ensure accurate, timely, and compliant billing across a high volume of matters. This role will reduce administrative burden for attorneys, safeguard trust (IOLTA) compliance, and improve cash flow through disciplined billing, reconciliations, and follow-ups. You’ll be a key partner to attorneys and operations, keeping the billing cycle efficient and audit-ready.

The Impact you’ll make

Billing Operations & Attorney Support
  • Follow up with attorneys for prospective client activity reports
  • Conduct attorney bill reviews and update bills as needed
  • Input and audit attorney time in Clio
  • Execute high-volume monthly bill runs
Expense & Fee Processing
  • Enter and process client expenses
  • Enter attorney expenses
  • Process individual service fees (e.g., Clio Payments/LawPay)
Trust Accounting & Compliance (IOLTA)
  • Disburse IOLTA funds to clients in accordance with policies
  • Administer trust requests and follow up with check requests
  • Maintain accurate trust records and support compliance reviews
Reconciliations & Cash Management
  • Perform general ledger reconciliations
  • Handle daily deposits and reconcile daily receipts correspondence
  • Coordinate with banking platforms for timely posting and issue resolution
Reporting, Commissions & Communication
  • Calculate attorney commissions and payouts
  • Assist with KPI reports and billing dashboards
  • Provide professional client communication and interaction via email/phone

Skills, Knowledge and Expertise

Required:
  • Bachelor’s degree in Accounting
  • 2+ years of QuickBooks experience and end-to-end billing ownership
  • Advanced Excel use (pivot tables, lookups, reconciliations)
  • Law firm or legal services experience; legal billing preferred
  • Proficiency with Microsoft Office Suite (especially Excel and Outlook)
  • WFH Set-Up:
    • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
    • Internet speed of at least 40MBPS
    • Headset with an extended mic that has noise cancellation and a webcam
    • Back-up computer and internet connection
    • Quiet, dedicated workspace at home

  • Technical: Clio (time entry, billing, expenses, trust/IOLTA), QuickBooks, banking portals, LawPay/Clio Payments, Excel/Google Sheets, document management (Google Drive/SharePoint), VOIP/email tools, and basic reporting/dashboard tools
  • Operational: Impeccable attention to detail, strong reconciliation discipline, and comfort with high-volume monthly bill runs
  • Communication: Clear written and verbal communication with attorneys and clients; confident follow-ups and issue escalation
  • Organization: Excellent time management, task tracking (e.g., Asana/Trello), and ability to meet tight deadlines
  • Plus: Paralegal certification or exposure to legal workflows is a bonus

Work Setup:

Working Hours:
  • 40 hours per week
  • Monday to Friday, 9:00am–5:00pm Eastern Time
Compensation:
  • $7 per hour
