Why does this role exist?
This role exists to provide reliable legal administrative support that keeps calendars accurate, filings timely, and clients informed—freeing attorneys to focus on strategy and advocacy. The firm is scaling and needs a dedicated assistant to centralize calendar/docket management, client intake/status updates, and payment follow-ups in Clio while coordinating scheduling via Calendly. You will help operationalize best practices documented in the firm’s handbooks to ensure court-specific filing requirements are consistently met.
The Impact you’ll make
Calendar and Docket Management
- Maintain attorneys’ calendars; coordinate court dates, case strategy calls, and deadlines
- Schedule via Calendly; confirm logistics, reminders, and reschedules as needed
- Track critical dates and ensure zero missed deadlines
Client Intake and Communication
- Manage intake coordination and gather required client information
- Provide proactive case status updates via email and phone
- Triage inquiries and escalate time-sensitive matters to attorneys
Motion Filing and Court Submissions
- Prepare and file motions and related documents using court-specific e-filing systems
- Follow firm handbooks and checklists to meet jurisdictional requirements
- Track filings, confirmations, and next steps within Clio
Light Accounts Receivable and Payment Follow-up
- Conduct courteous payment reminders and follow-ups
- Log activities and outcomes in Clio; coordinate with the attorney on payment plans
- Maintain basic AR trackers and escalate issues per guidelines
Case Management and Admin Support
- Update and organize client records in Clio with accurate notes and documents
- Use Trello for task tracking and follow-through on priorities
- Manage email and MS Outlook correspondence and ensure timely responses
Skills, Knowledge and Expertise
Required:
- Hands-on experience with Clio for client and matter management
- Proven law firm calendar/docket management, including court dates and deadlines
- Demonstrated experience preparing and e-filing motions/documents with U.S. courts
- Excellent English communication skills (written and verbal)
- Availability 8:00 am–5:00 pm Central Time (40 hours/week), work-from-home ready
- WFH Set-Up:
- Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
- Internet speed of at least 40MBPS
- Headset with an extended mic that has noise cancellation and a webcam
- Back-up computer and internet connection
- Quiet, dedicated workspace at home

- Technical: Clio, Calendly, MS Outlook, Trello, professional email etiquette; strong document formatting and e-filing
- Operational: Meticulous attention to detail, deadline-driven, strong task prioritization and follow-through
- Interpersonal: Empathetic client communication, professionalism under pressure, discretion/confidentiality
- Domain: Familiarity with criminal defense/DUI workflows is a strong plus
