Why does this role exist?
This role exists to ensure all products, data, and production activities run accurately and on schedule across the client’s e-commerce stack. As the business scales new launches and subscriptions, they need a detail-oriented operator to forecast demand, manage vendors and co-packers, and keep inventory, costs, and production tightly controlled. The specialist will own data integrity across Cin7, Shipfusion, Recharge, and Shopify while delivering timely reporting and insights to guide leadership decisions.

The Impact you’ll make

Inventory Planning & Procurement
  • Maintain accurate stock levels across Cin7, Shipfusion, and Shopify
  • Forecast inventory needs based on sales trends, subscription data, and new launches
  • Issue purchase orders, track delivery schedules, and monitor supplier lead times/reorder points
  • Reconcile physical vs. system inventory monthly; adjust discrepancies
  • Keep all product costs and COGS data current in Cin7

Production Oversight
  • Maintain a live production tracker for manufacturing runs, shipments, and deadlines
  • Follow up with manufacturers and co-packers to ensure timelines are met
  • Track production milestones, document updates, and communicate risks or delays
  • Coordinate inbound inspections and vendor–3PL (Shipfusion) communication

Quality Control (QC) & Vendor Management
  • Develop and maintain QC guidelines for products and packaging, including standards, tolerances, and inspection procedures
  • Oversee QC documentation for all incoming shipments and track defect trends
  • Audit vendor quality performance, resolve QC issues directly with vendors, and ensure accountability

Data Accuracy & Systems Management
  • Own Cin7 data accuracy across SKUs, bundles, and BOMs; maintain consistency across Cin7, Shipfusion, Recharge, and Shopify
  • Create and maintain SOPs for system workflows and inventory/production processes
  • Troubleshoot sync issues across systems and proactively flag/resolve data discrepancies

Reporting & Analytics
  • Own daily, weekly, and monthly operational reporting; deliver weekly leadership reports every Monday by 10:00 AM CST
  • Maintain real-time dashboards for inventory, sales, production, and returns
  • Identify risks, trends, and opportunities for improvement; support ad-hoc analysis

Skills, Knowledge and Expertise

Required:
  • 2+ years in inventory, operations, or supply chain management for an e-commerce brand
  • Advanced Google Sheets/Excel; hands-on experience with Cin7 or similar ERP, plus Shopify/3PL integrations
  • Proven vendor management and production timeline ownership with manufacturers/co-packers
  • Excellent written and verbal communication in English
  • Highly organized, detail-oriented, proactive; comfortable working remotely with minimal supervision and on PST hours
  • WFH Set-Up:
    • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
    • Internet speed of at least 40MBPS
    • Headset with an extended mic that has noise cancellation and a webcam
    • Back-up computer and internet connection
    • Quiet, dedicated workspace at home

Compensation:
