Flatt Veterinary Clinic is seeking a Full-Time Veterinary Receptionist / Customer Service Representative (CSR) to join our growing animal hospital team. We are a compassionate, client-focused veterinary practice dedicated to providing high-quality medical care and exceptional customer service to pets and their families.

 The Veterinary Receptionist plays a critical role in maintaining smooth daily operations while delivering an outstanding client experience. 

Key Responsibilities

Client Service & Front Desk Operations
  • Greet clients and patients warmly and professionally
  • Deliver exceptional customer service in a busy veterinary environment
  • Answer multi-line phones and manage high call volumes
  • Respond to client inquiries regarding services, procedures, and policies
  • Provide clear communication between clients and veterinary staff

Appointment Scheduling & Coordination

  • Schedule, confirm, and manage appointments for exams, surgeries, and follow-ups
  • Optimize appointment flow to support efficient clinic operations
  • Minimize wait times while maintaining accuracy

Check-In / Check-Out & Financial Transactions

  • Oversee patient check-in and discharge processes
  • Process payments, issue receipts, and manage invoices
  • Maintain accurate financial documentation

Medical Records & Administrative Support

  • Accurately enter and update client and patient information in the electronic medical record (EMR) system
  • Maintain organized, detailed, and compliant medical records
  • Assist with administrative tasks including filing and data entry
  • Prepare patient information for veterinarians and technicians

Client Relations & Problem Resolution

  • Handle client questions and concerns with empathy and professionalism
  • Resolve issues efficiently and escalate when appropriate
  • Support clients during routine visits and emotionally sensitive situations

Team Collaboration

  • Work closely with veterinarians, technicians, and support staff
  • Support workflow and patient care coordination
  • Contribute to a respectful, collaborative team culture

Skills, Knowledge & Expertise to be Successful

Preferred:
  • 1–2+ years of experience as a Veterinary Receptionist, Veterinary CSR, or in a medical/healthcare customer service role
  • Experience in a veterinary clinic or animal hospital strongly preferred
Required Skills:
  • Excellent communication and interpersonal skills
  • Strong multitasking and organizational abilities
  • High attention to detail and accuracy in recordkeeping
  • Comfort with EMR software and scheduling systems
  • Professional demeanor with compassion and emotional intelligence
  • Ability to work in a fast-paced veterinary setting
