Flatt Veterinary Clinic is seeking a Full-Time Veterinary Receptionist / Customer Service Representative (CSR) to join our growing animal hospital team. The Veterinary Receptionist plays a critical role in maintaining smooth daily operations while delivering an outstanding client experience.
Key Responsibilities
Client Service & Front Desk Operations
- Greet clients and patients warmly and professionally
- Deliver exceptional customer service in a busy veterinary environment
- Answer multi-line phones and manage high call volumes
- Respond to client inquiries regarding services, procedures, and policies
- Provide clear communication between clients and veterinary staff
Appointment Scheduling & Coordination
- Schedule, confirm, and manage appointments for exams, surgeries, and follow-ups
- Optimize appointment flow to support efficient clinic operations
- Minimize wait times while maintaining accuracy
Check-In / Check-Out & Financial Transactions
- Oversee patient check-in and discharge processes
- Process payments, issue receipts, and manage invoices
- Maintain accurate financial documentation
Medical Records & Administrative Support
- Accurately enter and update client and patient information in the electronic medical record (EMR) system
- Maintain organized, detailed, and compliant medical records
- Assist with administrative tasks including filing and data entry
- Prepare patient information for veterinarians and technicians
Client Relations & Problem Resolution
- Handle client questions and concerns with empathy and professionalism
- Resolve issues efficiently and escalate when appropriate
- Support clients during routine visits and emotionally sensitive situations
Team Collaboration
- Work closely with veterinarians, technicians, and support staff
- Support workflow and patient care coordination
- Contribute to a respectful, collaborative team culture
Skills, Knowledge & Expertise to be Successful
Preferred:
- 1–2+ years of experience as a Veterinary Receptionist, Veterinary CSR, or in a medical/healthcare customer service role
- Experience in a veterinary clinic or animal hospital strongly preferred
Required Skills:
- Excellent communication and interpersonal skills
- Strong multitasking and organizational abilities
- High attention to detail and accuracy in recordkeeping
