This is an excellent opportunity for an experienced Corporate Administrator to join our Corporate Compliance and Legal team in a varied, dual-function support role. Working closely with both functions, you will play a central role in ensuring regulatory processes, contract administration and governance documentation are managed efficiently and accurately. We are seeking a detail-oriented professional with proven capabilities to support our Compliance and Legal teams within a corporate setting.
Key Responsibilities
Corporate Compliance Administration
Regulatory & KYC Administration:
Regulatory & KYC Administration:
- Coordinate and respond to inbound KYC requests, including bank-related KYC requests
- Maintain accurate and up-to-date KYC documentation and standard document pack
- Support the coordination of Data Subject Access Requests (DSARs) and maintain related documentation
- Maintain organised records of regulatory submissions and compliance documentation.
Compliance Monitoring & Maintaining Registers:
- Maintain compliance registers (e.g. conflicts of interest, gifts and hospitality)
- Maintain accurate records on GEMS and ensure documentation is complete and audit-ready
- Maintain the compliance calendar and track key deadlines
- Support general record-keeping requirements to ensure compliance documentation is current and well organised.
Training, Reporting and Communications:
- Administer compliance training programmes, including tracking completion and issuing reminders
- Assist in the collation of compliance reports and documentation for internal purposes
- Support the preparation and distribution of compliance communications across the organisation
- Provide general administrative support to the Corporate Compliance function as required.
Legal Administration
Contract Management & Document Execution:
- Support contract administration, including tracking contract status and renewals
- Coordinate document execution, including arranging signatures and maintaining version control
- Maintain contract registers and ensure signed documents are properly filed
- Maintain organised electronic and physical filing systems for legal documentation.
Legal Operations & Financial Administration:
- Process legal invoices and support tracking of external legal spend
- Assist with the administration of budgets and monitoring of legal costs where required
- Support coordination with external legal advisors in relation to documentation and invoicing.
Correspondence & Governance Support
- Manage the Legal inbox, coordinating and responding to correspondence as appropriate
- Provide day-to-day administrative support to the Legal team
- Assist with basic company secretarial administration and maintenance of corporate records
- Support general governance documentation and record-keeping requirements.
Skills, Knowledge and Expertise
Essential:
- Previous and demonstrable experience of operating in an administrative role within a corporate environment
- Ability to communicate effectively (verbally and in writing) at all levels, interacting efficiently with senior management
- Strong prioritisation and organising skills with the ability to manage multiple workstreams
- Excellent attention to detail and record-keeping capability
- Experience managing shared inboxes and coordinating correspondence
- Proficiency in using office software (e.g., Microsoft Office Suite) and document management systems
- Experience handling sensitive and confidential information.
Desirable:
- Experience supporting a Compliance, Legal or Governance function
- Exposure to KYC or regulatory documentation processes
- Experience with contract administration
- Experience processing invoices or managing budgets
- Familiarity with managing registers or structured tracking systems.
