Why does this role exist?
This role exists to remove the bottleneck on the commercial side by taking ownership of commercial bids and material takeoffs, ensuring fast and professional responses to incoming website leads, and executing a consistent multi-touch follow-up cadence. The objective is to produce accurate, on-time estimates and pricing to increase win rates, reduce owner and admin workload, and establish reliable processes as the team integrates PlanHub.
The Impact you’ll make
Commercial Estimating & Takeoffs
- Perform material and quantity takeoffs for commercial projects.
- Build accurate estimates and assemble complete bid packages in PlanHub.
- Price out materials, request/compare supplier quotes, and maintain/update pricing.
Lead Management & Qualification
- Monitor and respond to website/email/phone inquiries during business hours.
- Pre-qualify leads using defined criteria and gather missing scope details.
- Schedule appointments and site visits with prospects and internal stakeholders.
Follow-Up & Pipeline Hygiene
- Execute a disciplined follow-up cadence (e.g., 3-day and 1-week touchpoints).
- Track bid/estimate status, notes, and next actions in a simple tracker or interim system.
- Provide regular pipeline and bid status updates to the owner/CSM.
Communication & Customer Service
- Answer calls and emails professionally; draft clear estimate cover letters and responses.
- Coordinate with internal team members, vendors, and subs to clarify scope and pricing.
- Maintain a high standard of written and verbal communication.
Tools, Reporting & Continuous Improvement
- Attend PlanHub live training and master daily estimating/takeoff workflows.
- Use Gmail, website lead forms, phone, and calendar for scheduling and coordination.
- Report weekly on bids submitted, lead response times, and follow-up completion; recommend process improvements.
Skills, Knowledge and Expertise
Required:
- Proven experience in commercial construction estimating and digital takeoffs, including pricing materials.
- Strong phone/email customer service, lead qualification, and appointment scheduling experience.
- Organized, tech-savvy, and able to learn/use PlanHub quickly.
- English-fluent with excellent written and verbal communication.
- Available full-time, M–F, 8am–5pm Eastern (40 hours/week).
WFH Set-Up:
- Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
- Internet speed of at least 40MBPS
- Headset with an extended mic that has noise cancellation and a webcam
- Back-up computer and internet connection
- Quiet, dedicated workspace at home
Your Superpowers:
- Technical: Commercial estimating and takeoffs; material pricing and vendor coordination; proficiency with PlanHub (or similar); Gmail and calendar scheduling; basic tracking/spreadsheet skills; familiarity with BuilderTrend is a plus.
- Soft skills: Detail-obsessed, proactive, persistent follow-through, clear communicator, time management, ownership mindset, and comfort working independently in a fast-paced, lean team.
