Operations Coordinator

We are looking for a brilliant Operations Coordinator to join the team at Switch. Sitting at the operational heart of the agency, the candidate will bring a calm precision to our creative environment. We are seeking someone that takes genuine pride in making things run smoothly. This is a part-time, in-person role with scope to grow.
The candidate will be our go-to person for keeping our internal processes clear and consistent, from client work through to pitches. Central to the role is ownership of our project management platform.
Key Responsibilities
Internal Operations & Project Management
You will be the connective tissue that keeps our team aligned and our projects on track:
- Design, document and maintain clear operational processes across the agency
- Produce and manage standard documentation and WIP reports
- Generate and share progress reports to keep teams informed
- Provide hands-on management support for large projects
- Coordinate quarterly client satisfaction pulse checks and in-depth annual reviews
- Review retainer balances monthly, sharing updates with relevant clients and internally to identify opportunities
Client Experience
You will own the client experience end-to-end, ensuring every touchpoint reflects our standards:
- Ensure support requests are assigned and actioned promptly
- Answering client calls, welcoming clients, managing support tickets
- Maintain full transparency around work in progress for clients
- Organise moments of client surprise and delight
- Plan and manage client events from concept to delivery
Business Development Support
You will work closely with our BD leads to keep new business activity moving forward:
- Manage a well-maintained calendar for the BD leads
- Produce effective pitch documents and presentations
- Organise sales meetings and ensure the client follow-up process is followed
- Support delivery of our CRM process
- Undertake research to inform and support BD efforts
Experience
You do not need to come from an agency background – but you do need to be someone who thrives on bringing order to complex, fast-moving environments. We are looking for:
- Exceptional organisational skills and an instinct for process
- A confident communicator, comfortable with clients and colleagues alike
- A proactive, self-starting attitude – you spot problems before they arise
- Genuine curiosity and energy (sound familiar?)
- Experience with project management tools; familiarity with Accelo is a bonus
- Proficiency with standard office and presentation software
- An appreciation for creative work and the agency environment
