Job Overview

This is one of the first hires into our Data & AI Team. You'll be the bridge between the technical team and the rest of the business — embedding with departments to understand how they work, identifying where AI and automation can have the highest impact, and ensuring new capabilities are actually adopted.

You won't be writing requirements documents from a desk. You'll be sitting with heads of departments understanding how invoice reconciliation actually happens, mapping a payroll process end-to-end with the People team, or running an AI upskilling session with nursery managers. The role is hands-on, outward-facing, and varied.

What You'll Do (Process Mapping and Automation Scoping)
  • Embed with support office departments (Finance, People, Admissions, Marketing, and others) to map current processes in detail
  • Identify which processes are candidates for automation — where is the volume, where is the pain, where is the manual effort that doesn't need to be manual?
  • Write clear requirements and specifications that our Automation Engineer can build from
  • Prioritise opportunities by business impact
  • Work closely with the Automation Engineer during build and testing to ensure what gets built actually solves the problem
Change Management and Adoption
  • Own the rollout when automations and new analytics tools go live in a department
  • Train users, manage the transition from old process to new, handle resistance constructively
  • Collect feedback and iterate — if something isn't working, you're the first to know and the first to act
  • Build lasting relationships with department heads so they see the Data & AI Team as a partner, not a threat
AI Upskilling (20–30% of time)
  • Run AI fluency cohorts across the organisation — practical sessions helping teams use tools like Claude, Gemini, and others to improve their personal productivity
  • Curate which AI tools are appropriate for which teams and use cases
  • Identify who's struggling and provide targeted support
  • Feed back to the Director what the organisation is trying to do with AI, so we can prioritise tooling and training
Analytics Opportunity Identification
  • While embedded with departments, surface data and analytics opportunities — teams making decisions on gut feel, questions that could be answered with data, reports that could be dashboards
  • Feed these into the Product Owner's backlog for the Analytics Engineer to deliver

What We're Looking For (Essential)
  • Experience mapping business processes end-to-end, ideally in operational or back-office environments (Finance, HR, operations — not software product development)
  • Demonstrated ability to work with senior stakeholders — you'll be sitting with Heads of Department from week one and need to be credible and confident
  • Strong facilitation skills — you can run a workshop, lead a training session, and manage a room
  • Genuine curiosity about AI and automation — you don't need to be technical, but you need to understand what's possible and get excited about applying it
  • Clear, structured communication — you can translate messy business reality into organised requirements, and explain technical concepts to non-technical people
  • Comfort with ambiguity — this is a new function, processes are being defined as we go, and you'll need to figure things out rather than follow a playbook
Nice to Haves...
  • Experience with workflow automation or process improvement tools (n8n, Zapier, Power Automate, or similar)
  • Experience in education, childcare, healthcare, or other people-centric sectors
  • Experience with change management frameworks or methodologies
  • Familiarity with BI tools (Tableau, Omni, Looker, Power BI)

What You Won't Be Doing
  • Writing code or building automations (that's the Automation Engineer)
  • Building dashboards (that's the Analytics Engineer / Data Analyst)
  • Managing the product backlog (that's the Product Owner)
  • Working in isolation — this role is fundamentally about being embedded with people across the business
