Transport Coordinator – Travel Operations

Viking Travel Care is looking to strengthen our operations team with an experienced Travel Operations Coordinator. We are seeking a structured and hands-on professional with strong ticketing and travel booking experience who can support our medical transport operations.

You will work closely with our medical transport specialists, focusing on flight booking, travel coordination, and operational case handling.


Key Responsibilities:

  • Booking flights and managing complex travel itineraries

  • Handling ticketing related to medical transports and assisted travel (e.g. WCHR, special service requests)

  • Coordinating with airlines, travel partners, and internal teams

  • Ensuring smooth and cost-efficient travel arrangements

  • Following procedures and operational guidelines

What we are looking for:

  • Minimum 2–3 years’ experience from a travel agency, airline, or ticketing environment

  • Solid understanding of ticketing systems and travel terminology (e.g. SSR codes, assisted travel requests such as WCHR, stretcher cases, etc.)

  • Experience handling complex bookings and last-minute changes

  • Fluency in English, both written and spoken

  • Knowledge of a Scandinavian language (Norwegian, Swedish, or Danish) is a strong advantage

  • Strong IT skills and ability to quickly learn new systems

  • Structured and able to prioritize in a busy environment

  • Proactive and solution-oriented

  • Flexible and comfortable working with urgent cases

  • Team-oriented with good communication skills

  • Willing to learn and develop within the role
