Job Overview

Expo 2027 Belgrade, a Bureau of International Expositions (BIE)-recognized World Expo, will take place in Belgrade, Serbia, from May 15 to August 15, 2027, under the theme “Play for Humanity – Sport and Music for All.” Bringing together more than 100 countries and millions of visitors, the Expo will serve as a global platform for cultural exchange, innovation, and international collaboration. 
 
The USA Pavilion will be a flagship destination at Expo 2027, welcoming visitors from around the world through immersive experiences, dynamic programming, and interactive storytelling. Inspired by the Expo theme, the Pavilion will showcase American creativity, innovation, music, sport, and culture while highlighting the power of connection, collaboration, and people-to-people engagement. 

The Facilities, IT, & Logistics Manager for the USA Pavilion at Expo 2027 Belgrade will oversee facilities and logistical operations to ensure smooth execution of all pavilion activities. Additionally, they will assist in overs hardware & software technology infrastructure, system maintenance, troubleshooting, and vendor management, focusing on network security and data integrity to ensure smooth execution of all pavilion activities., This role requires a highly organized and detail-oriented professional who can manage multiple priorities, coordinate resources, and optimize processes in a fast-paced environment. The ideal candidate will thrive in managing day-to-day logistics, maintaining systems, and supporting the overall success of the pavilion. This role will work closely with both internal and external stakeholders.  
 
The nature of Expo operations requires a collaborative and flexible working environment across all areas of the USA Pavilion. While each team member will have a defined role and primary responsibilities, all staff may be required to support additional operational functions as needed to ensure the successful delivery of the Pavilion experience. This may include assistance across programming, VIP visits and protocol, cultural performances, food and beverage operations, hospitality, venue management, guest services, staffing coordination, special events, and other operational activities. Due to the live-event nature of the project, support may occasionally be required with limited notice, and all team members are expected to contribute proactively, professionally, and collaboratively to the overall success of the Pavilion.

Key Responsibilities

Logistics Management  | Oversee logistics for the pavilion, including inventory management, deliveries, and resource allocation. Manage the flow of materials, equipment, and supplies to support pavilion operations and events.
IT Coordination  | Work with vendors, contractors, and service providers to ensure timely delivery of services and materials for IT and AV infrastructure. This is inclusive of printers, conferencing equipment, etc. Monitor vendor performance, addressing any issues to maintain operational standards.
Technical Support & Training  | Provide ongoing tech support, troubleshooting, and tech-related onboarding and training for all pavilion staff. 
Infrastructure Management  | Monitor network performance, system health, and ensure maximum uptime of hardware and software. Display technical expertise in network administration, server infrastructure, and cloud services.
Security & Compliance  | Implement and enforce IT security policies, firewalls, and data backups to protect sensitive data in line with Trivandi and DoS standards and cybersecurity best practices.
Budget and Procurement  | Manage procurement processes, including purchase orders, vendor agreements, and expense tracking. Ensure alignment with pavilion budgets and financial guidelines.
Transportation  | Provide administrative support to leadership and operations staff for transportation. Coordinate transport for stakeholder groups. 
Onsite Accreditation  | Manage, with HR, the accreditation requests across all teams. 
Venue Access and Vehicle Permits  | Manage all vehicle on site passes in alignment with Expo 2027 policies and procedures and access to the Pavilion as well as logs of drivers, vehicles, and deliveries with Security or overnight staff. 
Facility Management  | Oversee the upkeep of pavilion facilities, ensuring all areas are clean, safe, and operational. Coordinate and complete contracts with vendors and service providers to maintain facility standards (this includes Security, Cleaning, Waste, Internet, Radios, among others).
Facility Logistics  | Monitor pavilion facilities to ensure operations run seamlessly, including equipment maintenance and supply readiness. Address facility-related issues, coordinating with relevant teams for resolution.
Inventory Management  | Track and manage pavilion supplies, ensuring adequate stock levels for daily operations. Maintain detailed records of inventory usage and requisitions to optimize resource planning including organizing uniform elements or additional items related to uniforms. 
Compliance and Reporting  | Ensure all administrative and logistical processes comply with Expo guidelines and local regulations. Prepare detailed reports for leadership, including logistics performance and resource utilization.
Event Support  | Coordinate logistics for pavilion events, performances, and programs. 
Oversee event setup, ensuring all necessary resources are in place for successful execution.
Project Management  | Plan and manage IT projects, such as system upgrades, migrations, and installations working with Trivandi central IT teams.
Emergency Logistics  | Develop contingency plans for logistical challenges, ensuring quick response to unexpected disruptions. Support operations teams during emergencies or crisis scenarios to maintain pavilion continuity.
Continuous Improvement  | Identify areas for operational enhancement and work with the team to implement improvements. Stay informed about best practices in pavilion operations and incorporate them as appropriate. 

Skills, Knowledge and Expertise

Required Skills & Qualifications
  • English Speaking (C1 or Native) 
  • Serbian Speaking (Not Required but viewed favorably) 
  • Fluency in additional languages is a plus 
  • Strong leadership skills with experience managing operations, planning for changing situations, training teams, and fostering accountability and ownership among staff. 
  • Excellent interpersonal and relationship-building skills with the ability motivate and collaborate with people from varied backgrounds and experiences while maintaining a calm, positive and professional approach. 
  • Strong written and verbal communication skills, with emotional intelligence and cultural awareness across different audiences and environments. 
  • Flexible, adaptable, and open to feedback in a fast-paced and evolving project environment.
