Expo 2027 Belgrade, a Bureau of International Expositions (BIE)-recognized World Expo, will take place in Belgrade, Serbia, from May 15 to August 15, 2027, under the theme “Play for Humanity – Sport and Music for All.” Bringing together more than 100 countries and millions of visitors, the Expo will serve as a global platform for cultural exchange, innovation, and international collaboration.
The USA Pavilion will be a flagship destination at Expo 2027, welcoming visitors from around the world through immersive experiences, dynamic programming, and interactive storytelling. Inspired by the Expo theme, the Pavilion will showcase American creativity, innovation, music, sport, and culture while highlighting the power of connection, collaboration, and people-to-people engagement.
The Facilities & Maintenance Coordinator for the USA Pavilion at Expo 2027 Belgrade will support facilities and maintenance operations to ensure smooth, safe and efficient pavilion activities. This role requires an organized, detail-oriented, and proactive individual who thrives in a fast-paced environment. The ideal candidate will balance hands-on, minor repairs with administrative oversight, vendor management, and scheduling, ensuring the workspace is safe, compliant, and fully operational. They are skilled in troubleshooting, communication, and multitasking, capable of handling emergency repairs while managing long-term preventive maintenance schedules. This role will work closely with both internal and external stakeholders.
The nature of Expo operations requires a collaborative and flexible working environment across all areas of the USA Pavilion. While each team member will have a defined role and primary responsibilities, all staff may be required to support additional operational functions as needed to ensure the successful delivery of the Pavilion experience. This may include assistance across programming, VIP visits and protocol, cultural performances, food and beverage operations, hospitality, venue management, guest services, staffing coordination, special events, and other operational activities. Due to the live-event nature of the project, support may occasionally be required with limited notice, and all team members are expected to contribute proactively, professionally, and collaboratively to the overall success of the Pavilion.

Key Responsibilities
Logistics Coordination | Assist in managing logistics for facilities and maintenance resource allocation. Track supplies and coordinate with vendors to ensure timely deliveries and service execution.
Onsite Accreditation | Manage, with HR, the accreditation requests across all teams.
Venue Access and Vehicle Permits | Manage all vehicle on site passes in alignment with Expo 2027 policies and procedures and access to the Pavilion as well as logs of drivers, vehicles, and deliveries with Security or overnight staff.
Vendor Communication | Liaise with vendors, contractors, and service providers to ensure all maintenance and facilities needs are met. Support tracking of contracts, schedules, and performance of third-party services.
Facility Management | Oversee the upkeep of pavilion facilities, ensuring all areas are clean, safe, and operational. Coordinate and complete contracts with vendors and service providers to maintain facility standards. (Security, Cleaning, Waste, Internet, Radios, etc.)
Facility Logistics | Monitor pavilion facilities to ensure operations run seamlessly, including equipment maintenance and supply readiness. Address facility-related issues, coordinating with relevant teams for resolution.
Facility Assistance | Support operations teams in ensuring pavilion facilities remain clean, functional, and operational. Report and manage any maintenance issues and assist in coordinating repairs or resolutions with the SLA’s in place.
Event Logistics | Assist in coordinating logistics and transport for events, performances, and programs at the pavilion. Support event setup, teardown, and on-the-ground logistical needs.
Compliance Monitoring | Assist in ensuring all logistical and administrative processes comply with Expo guidelines and local labor laws.
Maintain accurate records and help with compliance reporting as needed.
Documentation | Maintain and organize pavilion documentation, including logs, vendor records, and schedules and accreditation. Prepare daily and weekly reports on logistical activities, issues, and improvements.
Emergency Readiness | Support implementation of emergency protocols and assist in logistical responses to unforeseen challenges. Work with operations teams to maintain preparedness for any disruptions.

Required Skills & Qualifications
- English Speaking (C1 or Native)
- Serbian Speaking (Requirement)
- Fluency in additional languages is a plus
