The Inspection Admin Coordinator is responsible for coordinating and supporting on-site vehicle inspections, ensuring all administrative, documentation, and compliance tasks are completed accurately and efficiently. You will enable smooth inspection workflows, support customers on-site, and ensure all required information is captured to allow the Inspection Team to make fast, informed decisions.
The Inspection Admin Coordinator is responsible for coordinating and supporting on-site vehicle inspections, ensuring all administrative, documentation, and compliance tasks are completed accurately and efficiently. You will enable smooth inspection workflows, support customers on-site, and ensure all required information is captured to allow the Inspection Team to make fast, informed decisions.
What you'll be doing:
- Attend Sell-to Carma sites, supporting the coordination and administration of inbound inspection appointments.
- Act as a point of contact for customers on-site, ensuring a smooth and professional experience throughout the inspection process.
- Coordinate inspection flow on-site, ensuring appointments run on time and all required steps are completed.
- Input and update all relevant systems with vehicle and inspection details, including uploading photos and documentation.
- Verify vehicle and customer information, ensuring accuracy and integrity across all records.
- Collect and review required compliance documents including registration papers, logbooks, and licences.
- Track inspection progress and follow up on any missing information to ensure timely completion.
- Support Inspectors by ensuring all required inspection data is available for decision-making.
- Assist in facilitating the purchase process by entering vehicle details and supporting payment workflows where required.
- Work closely with the wider team to manage site operations and maintain efficient workflow across high-volume locations.
- Provide general administrative and operational support to ensure inspections are completed accurately and efficiently.

- Strong attention to detail and ability to follow structured processes
- Confident communication skills, with the ability to engage customers and support on-site operations
- Strong organisational skills and ability to manage multiple tasks simultaneously
- Comfortable working in a site-based, fast-moving environment
- Tech savvy and able to quickly learn and use new systems
- Self-motivated with the ability to work independently and as part of a team
- Flexibility to travel between Sydney inspection sites
