The Purchasing Manager directs the hotel’s procurement operations, managing vendor relationships, negotiating contracts, and sourcing high-quality materials to minimize supply costs while upholding luxury brand standards and establishing supply-chain infrastructure prior to launch.
Key Responsibilities
- Pre-Opening Procurement Setup: Establish supplier networks, negotiate preferred vendor contracts, configure procurement/inventory software (e.g., Material Control, FBM), and execute OS&E (Operating Supplies & Equipment) and FF&E (Furniture, Fixtures & Equipment) purchasing critical-path schedules before launch.
- Sourcing & Supplier Management: Identify, evaluate, and manage reliable vendors; negotiate competitive pricing, terms, and service level agreements (SLAs) without compromising quality.
- Inventory & Cost Control: Oversee receiving, store operations, and stock management to streamline inventory turnover, minimize waste, and maintain optimal par levels.
- Compliance & Policy Enforcement: Enforce purchasing policies, internal financial controls, corporate sustainability guidelines, and local health/safety regulations across all operational departments.
- Cross-Departmental Support: Work closely with Culinary, Housekeeping, and Engineering teams to manage routine operational purchases, capital expenditure orders, and emergency requests efficient.
Skills, Knowledge and Expertise
What Makes You a Great Fit; Who We’re Looking For
- Experience: Minimum 3–5 years as Purchasing Manager or Assistant Purchasing Manager in a 5-star luxury hotel, with proven pre-opening project experience preferred.
- Education: Bachelor’s degree in Supply Chain Management, Business Administration, or Finance.
- Technical Skills: Proficiency in hospitality procurement software (e.g., Materials Control, SunSystems, Oracle), inventory management, and contract negotiation.
- Competencies: High ethical standards, strong negotiation and analytical skills, vendor relationship management, and business fluency in English.
