About the Role
This role offers the opportunity to be at the centre of Bayleys’ fast-paced auction environment, supporting the National Auctioneers and the wider franchise network to deliver seamless, high-profile auctions at Bayleys House. As a key member of the team, you’ll coordinate and manage the end-to-end auction process – from pre-auction preparation through to auction day delivery and post-auction reporting. You’ll play a pivotal role in ensuring every auction runs smoothly while contributing to national auction initiatives and maintaining the systems, documentation and data that support a leading auction network.
Key Responsibilities
Coordinate and administer all auctions held at Bayleys House, including pre-auction preparation, auction day management and post-auction results.
Support the National Auctioneers with administration, travel bookings, billing and coordination.
Manage the national auction database, maintain the forthcoming auction list and coordinate the national auction calendar.
Prepare and distribute auction documentation, including Order of Sale and supporting materials.
Manage auction bookings, results and billing through PropertySuite.
Maintain auction content on the Bayleys external website and internal intranet (BCentral).
Coordinate and report national auction statistics, including quarterly reporting to franchise owners and auctioneers.
Provide auction support and respond to enquiries from the public and franchise network.
Manage the relationship with Auctions Live and support onboarding and training across the network.
Coordinate internal auction training programmes and organise national auction events and workshops.
Key Attributes
Strong organisational and multitasking skills with the ability to work in a fast-paced environment.
Confident communicator with a collaborative approach and strong stakeholder management skills.
High attention to detail with the ability to work with figures and complex information.
Comfortable working in a live auction environment and able to think on your feet under pressure.
Proactive, adaptable and able to work independently with minimal supervision.
Strong computer skills, including Microsoft Office (Excel, Word, PowerPoint, Outlook); familiarity with Photoshop or databases is advantageous.
Previous real estate or auction experience is beneficial but not essential.
