Full-time: 37.5 hours per week
Contract: Fixed term for 3 years

Salary: up to FJD 39,000 per annum depending on skills/experience
Annual Leave: 25 days pro rata in year 1, increasing by 1 day p/a to 28 days

We are looking for an Operations Coordinator to work with the Project & Capacity Manager on the SAMBIO project, ensuring financial integrity, operational efficiency, procurement compliance and risk mitigation across all project components.

In this role, you will be responsible for supporting operational requirements and ensuring that all financial and procurement processes meet the required standards.

How you will do this:

Financial Leadership

  • Support planning, budgeting and real-time expenditure tracking for the SAMBIO Project.

  • Ensure full compliance with BirdLife and CI-GEF financial standards.

  • Prepare clear, timely financial reports for internal, government and donor use.

  • Monitor budget execution, flag risks and maintain smooth cash-flow and disbursements.

Risk & Compliance

  • Conduct financial due diligence on partners and service providers.

  • Oversee financial reporting, liquidations and tranche releases.

  • Support internal/external audits and ensure strong fiduciary controls.

Procurement & Contracting

  • Lead compliant procurement processes and maintain accurate documentation.

  • Support contract and grant agreements with partners.

  • Verify invoices, payments and financial records to ensure quality and accuracy.

Capacity Building

  • Strengthen partners’ financial and operational capacity.

  • Ensure safeguards and compliance requirements are embedded in all agreements.

Operations & Administration

  • Maintain organised financial and project documentation systems.

  • Support logistics, communications, procurement tasks and M&E-related budgeting.

  • Coordinate workshops, events and meetings, and liaise with government and stakeholders

What we are looking for:

You’ll need to be a finance professional with a degree or equivalent in finance, accounting, economics, business or a related field, additionally, training in donor compliance, project finance or procurement is desirable. You’ll bring experience of managing finances for donor-funded or development projects in Fiji, with strong skills in budgeting, cash flow management, procurement, fiduciary risk controls and compliance with both donor and Fiji Government financial regulations. Experience with grant management in Fiji is a strong advantage.

To thrive in this role, you’ll be highly organised, able to juggle multiple deadlines, maintain impeccable records, and provide clear financial guidance to teams and partners. You’ll work confidently and independently while also collaborating effectively, bringing a solid understanding of financial, operational, cultural and legal requirements in the Fijian context.
