General Services & Reception Administrator (60%)

Contract: 12-month fixed-term contract, part-time
Working hours: Monday-Friday, 12:30-17:30
Workload: 60%, with potential to increase depending on operational needs

We are looking for a versatile and service-oriented General Services & Reception Administrator to support the smooth day-to-day operation of an international headquarters. Reporting to the Head of Facilities, you will coordinate general office services and administrative activities while also providing reception coverage, particularly during lunchtime, holidays and colleague absences. This is a highly people-facing position requiring reliability, flexibility, excellent presentation and a strong customer-service mindset.

Responsibilities

  • Coordinate general administrative and office-service activities.

  • Liaise with international stakeholders to ensure appropriate follow-up of orders.

  • Coordinate incoming and outgoing mail, parcels and shipments.

  • Prepare and coordinate customs documentation.

  • Monitor office, stationery and cafeteria supplies and arrange replenishment when required.

  • Review supplier invoices and ensure appropriate administrative follow-up.

  • Liaise with external service providers in collaboration with the Head of Facilities.

  • Provide general administrative support to the wider team.

  • Act as a back-up receptionist, welcoming visitors and serving as a professional first point of contact.

  • Answer incoming calls through a multi-line switchboard and provide general information.

  • Maintain reception and visitor-facing information as required.

  • Support the organisation of corporate events and employee gatherings.

  • Provide additional reception coverage during holidays and periods of absence.

Requirements

  • Previous experience in administration, office management, reception, facilities or general services.

  • Fluent French and English, both used daily.

  • Strong customer-service and service-oriented mindset.

  • Professional and polished presentation, particularly when welcoming external visitors.

  • Reliable, mature and able to work independently.

  • Highly organised with strong attention to detail.

  • Comfortable coordinating multiple administrative and operational activities.

  • Proactive and flexible approach to changing operational requirements.

  • Comfortable liaising with internal teams, suppliers and international stakeholders.

  • Availability to provide additional coverage when colleagues are absent.

  • Interest in a stable, long-term opportunity.
