The Associate Director oversees the Integrated Facilities Management (IFM) and Capital programs for Lake County, IL, providing strategic leadership and operational guidance to ensure effective, compliant, and innovative service delivery across all in-scope facilities. This role is primarily accountable for driving IFM strategies, managing contractual relationships, optimizing vendor performance, and aligning facilities operations with organizational objectives. This role also guides the execution of the Capital Programs. Capital responsibilities include managing large cross-site projects, leading teams of experts, and driving both long- and short-term strategies to meet business and client needs. The role ensures compliance, vendor performance, cost control, and adoption of industry trends and innovations in facilities management.
Key Responsibilities:
- Integrated Facilities Management (IFM) Leadership
- Lead the IFM program across multiple sites, ensuring all services are delivered efficiently and meet contractual scope, metrics, and performance targets.
- Develop, execute, and continuously improve IFM strategies in partnership with service providers, site directors, and stakeholders.
- Oversee management of the IFM contract (e.g., Lake County $11MM budget), including scope changes, RFP processes, SLA/KPI monitoring, and supplier performance.
- Serve as primary liaison and escalation point between company and IFM providers; resolve issues promptly and lead root cause analysis.
- Vendor & Contract Oversight
- Foster strategic alliances with IFM vendors; negotiate contracts and evaluate qualifications and compliance.
- Guide implementation of change request processes and ensure proper documentation of all contract modifications.
- Ensure site staff are trained to understand and execute contract requirements.
- Financial & Capital Management
- Manage IFM and capital budgets, including tracking, reporting, and optimizing performance and cost control.
- Oversee both annual and long-term planning for infrastructure upgrades, ensuring alignment with business objectives and regulatory compliance.
- Monitor finance reports for compliance and resolve any non-conformances.
- Strategic Project Execution
- Integrate business needs and technology in defining project and service scopes within the IFM framework.
- Lead large, cross-site programs and projects, promoting consistent high-value service delivery.
- Apply advanced project management tools and methodologies to ensure timely completion and risk mitigation.
- Standards & Compliance
- Ensure all IFM activities adhere to government, environmental, health, safety, and company standards.
- Participate in committees, task forces, and professional associations to align policies with industry best practices.
- Innovation & Industry Leadership
- Continuously assess and implement industry trends and innovations in IFM.
- Promote breakthrough ideas and process improvements; generate institutional knowledge and advance technology across facilities.
- Contribute as a thought leader via presentations, panels, and publications.
- Stakeholder Engagement
- Maintain effective communication with all levels of management, site teams, IFM providers, and clients.
- Build functional networks and train staff in IFM service delivery excellence.
