We’re looking for

We are seeking a detail-oriented and proactive Workplace Experience Specialist to support workplace operations, with a focus on vendor management, travel and event coordination, office operations and project management. In this role, you will play a key role in operational efficiency to ensure tasks and initiatives are followed through effectively across departments.

Requirements:

  • Experience: 2-4 years in office management or project management, or in a similar client-facing role.

  • Languages: Fluent in English and Spanish.

  • Strong attention to detail, adaptability, effective time management, a proactive mindset, critical thinking skills, and a solution-oriented approach.

  • Flexibility: Willing to assist with reception tasks when needed.

  • Strong communication and writing skills; able to work effectively both independently and within a team.

Responsibilities:

Vendor Management

  • Manage vendor subscriptions, contracts, and renewals

  • Maintain accurate and up-to-date internal records and tracking tools

  • Maintain positive relationships with vendors through regular communication

  • Monitor vendor performance and negotiate agreements to ensure cost-effectiveness and service quality

  • Oversee facilities operations and escalate issues to vendors in an efficient and timely manner

  • Oversee inventory management and ensures all procedures meet health, safety and building code standards

  • Ensure procurement processes align with internal financial policies and security compliance

Travel & Events Coordination

  • Manage end-to-end corporate travel arrangements and company-wide internal events for all employees, coordinating logistics and managing vendors to ensure successful delivery

  • Lead and mentor team members on travel policies and processes, ensuring efficient and accurate execution

  • Oversee all corporate apartment logistics, including contracts, billing, and repairs, while supervising visitor access processes to ensure they meet security requirements and that guests’ needs are fully supported

  • Coordinate end-to-end logistics for internal events and employee perks

  • Foster an employee-focused, customer service mindset to ensure travel experiences and internal events run as smoothly as possible, proactively resolving disruptions with vendors, evaluating processes, and proposing updates to internal policies as needed

Office Operations

  • Foster a supportive and positive environment by collaborating with Workplace Experience team members and cross-functional teams to achieve shared goals

  • Maintain a clean, organized, and well-functioning workspace by regularly monitoring office facilities

  • Coordinate day-to-day maintenance and repairs, proactively identifying issues and working with maintenance teams and landlords to track progress through to completion

Project Management

  • Collaborate with the Head of Workplace Experience on process and office improvements, coordinating with stakeholders to ensure timely delivery

  • Oversee the Workplace Experience internal processes hub, ensuring all guides and processes are accurately documented, access permissions are aligned with Security and Compliance, and information remains consistent across all offices

  • Handle Ad Hoc tasks as needed
