Role and responsibilities:
The following list contains the core roles and responsibilities of the Supply Manager. This list is subject to change and additional duties may be assigned as necessary by supervisor.
- Inventory & Supply Management — Oversee all medical supply procurement, stocking, and distribution across multiple stations (Bend, Portland, Washington, Arizona). Process purchase orders, manage supply requests through Operative IQ (OpIQ), and ensure supply rooms are accurately maintained and cycle counted.
- Controlled Substance Oversight — Manage controlled substance inventories across all divisions, coordinate kit preparation and handoffs, oversee expiration tracking, and ensure compliance with regulatory requirements. Train staff on narcotic handling procedures and maintain SOG documentation.
- Medical Equipment & Fleet Coordination — Track and schedule preventive maintenance for medical equipment, coordinate rental equipment (e.g., cardiac monitors) for seasonal deployments. Manage medical devices and office equipment including warranty claims and coordinate with fleet management on ambulance readiness.
- Inventory System Administration — Serve as the primary administrator for Operative IQ / Frontline. Configure kits, supply rooms, and automated workflows. Troubleshoot system issues and train staff across all divisions on proper platform usage.
- Cross-Division Coordination — Work closely with station supervisors, division directors, and the CEO to ensure rigs, bags, and equipment are deployment ready. Proactively communicate supply status and resolve shortfalls, especially ahead of large events and seasonal deployments.
- SOG Development & Training — Author and maintain Standard Operating Guidelines (SOGs) for supply and narcotics workflows. Deliver training to staff and supervisors on inventory processes, kit management, and equipment use.
- Budget & Purchasing — Source and procure medical supplies and equipment. Submit receipts and invoices to accounting and identify cost-saving opportunities through vendor contracts.
- Expiration & Compliance Tracking — Monitor supply expirations across all supply rooms, kits, bags, and narcotics kits. Ensure timely replacement and maintain accurate records for auditing and reporting purposes.
Skills and Requirements:
- Experience in EMS, emergency medicine, or a healthcare logistics environment preferred
- Proficiency with inventory management systems (OpIQ/Frontline experience a strong plus)
- Proficiency in computers and computer-based software such as Outlook, Slack, Excel, Teams
- Strong organizational skills with high attention to detail
- Excellent communication skills across multiple teams and locations
- Comfortable working independently and managing competing priorities
