We are seeking a highly motivated, detail‑oriented Office Manager to lead operations at our Chicago office — ensuring it runs smoothly, safely, and with an atmosphere that inspires our people every day. Key Responsibilities
- Champion a safe, compliant, and sustainable workspace by upholding health and safety regulations and proactively addressing facilities needs.
- Elevate the office environment through creative ideas and collaboration with employees, fostering a workspace that’s welcoming, functional, and inspiring.
- Provide executive support to the Chairman and CEO, including seamless onsite and virtual meeting setup, troubleshooting technology, and ensuring flawless execution.
- Plan and deliver engaging office events and wellness initiatives that reflect our culture and values.
- Manage grocery and catering deliveries to align with our health and wellness goals.
- Create a warm, personalized experience for visitors from the moment they arrive.
- Maintain and optimize office equipment, cultivate vendor relationships, and coordinate timely deliveries and services.
- Lead space planning initiatives, ensuring resources are allocated efficiently and creatively.
- Keep our café area stocked, organized, and visually appealing.
- Troubleshoot AV issues throughout the office and manage AV for Townhalls and other large events.
- Partner with Chicago brokerage firms to source and secure new office space when needed.
- Support legal teams in lease negotiations and agreements as required.
- Manage the Chicago office budget, driving efficiency and cost optimization.
- Coordinate with internal and external stakeholders such as brokers, landlords, and property managers.
- Identify opportunities to increase value with suppliers and vendors.
- Collaborate closely with IT and AV teams on office improvements and technical needs.
- Monitor and analyze space utilization, proactively resolving capacity issues and defining meaningful metrics.
Minimum Requirements
- Bachelor’s degree in Real Estate, Finance, Business Administration, or related field.
- 8–10 years of office management experience, ideally within a dynamic corporate setting.
- Proficiency in real estate databases and research tools.
- Strong AV/technology capabilities.
- Strong analytical and quantitative skills, including financial modeling and data analysis.
- Full‑time, onsite role — Monday to Friday.
- Typical hours: Arrival between 7:00–9:00 a.m., departure between 3:30–5:30 p.m.
