PMO Analyst (Project Management Office Analyst)

Job Overview

The PMO Analyst ensures delivery discipline across all projects by maintaining Asana hygiene, tracking progress on modules/features, preparing project health reports, collecting updates from PMs, flagging risks early, and supporting the Delivery Ops Lead in driving execution standards.

They act as the backbone of delivery governance, ensuring every project is updated, documented, and visible to leadership — without depending on individual PM habits.

Requirements

1. Asana Management & Delivery Hygiene

  • Maintain daily oversight of all Asana boards for active projects (tasks, subtasks, deadlines, dependencies).
  • Ensure PMs update status, timelines, documentation, and dependencies according to SOP.
  • Identify overdue tasks, inconsistencies, and missing details.
  • Send daily/weekly reminders to PMs and escalate hygiene issues to Delivery Ops Lead.

2. Project Progress Tracking

  • Track module/feature-level progress against planned timelines.
  • Verify updates provided by PMs are complete and accurate.
  • Maintain progress sheets or trackers for all critical deliverables.
  • Identify delays and bottlenecks early and escalate accordingly.

3. Weekly Delivery Reporting

  • Prepare standardized Project Health Reports for all active projects:
    • RAG status (Red/Amber/Green)
    • Overdue tasks
    • Risks & blockers
    • Progress vs timeline
    • Resource issues
    • Client feedback summary
  • Compile a weekly Delivery Scorecard for COO/CEO summarizing:
    • At-risk projects
    • PM performance indicators
    • velocity/throughput
    • delivery delays & root causes

4. PM Follow-up & Coordination

  • Collect weekly updates from PMs using a structured form or template.
  • Chase missing updates, documentation, and timelines.
  • Help PMs adhere to delivery SOP, especially new or struggling PMs.
  • Coordinate with PeopleOps for performance concerns or team changes.

5. Participation in Project Calls

  • Join important project calls (kickoffs, weekly client reviews, escalations).
  • Capture action items, decisions, deadlines, and delivery commitments.
  • Update Delivery Ops Lead with summary notes and risk areas.
  • Ensure PMs follow up with actionable next steps.

6. Risk Identification & Escalation

  • Monitor signals of PM underperformance, lack of updates, or delivery slippage.
  • Highlight emerging risks before they become client issues.
  • Communicate red flags promptly to Delivery Ops and PeopleOps teams.

7. Documentation & SOP Enforcement

  • Ensure all projects maintain:
    • updated functional documents
    • SOW & scope documents
    • change requests
    • test cases
    • requirement breakdown
    • sprint summaries
  • Help enforce Delivery SOPs and keep PMs aligned.

Required Skills & Competencies

 

Technical & Operational Skills

  • Strong understanding of software development lifecycle (SDLC).
  • High proficiency with Asana (or Jira, ClickUp, Trello).
  • Skilled in progress tracking, task management, and reporting.
  • Ability to read SOWs, scope breakdowns, and project timelines.
  • Good understanding of Agile/Scrum workflows.

 

Analytical Skills

  • Strong attention to detail.
  • Ability to identify patterns in delays or project risks.
  • Skilled at building structured reports, trackers, and dashboards.
  • Comfortable with Google Sheets / Excel.

 

Communication & People Skills

  • Confident in chasing updates without hesitation.
  • Good written & verbal communication.
  • Able to handle PMs, Developers, QA, Designers, and Clients professionally.
  • Calm under pressure, structured in approach.

Qualifications

  • 2–5 years in a PMO/Project Coordinator/Delivery Analyst/Junior PM role.
  • Experience in a software development or IT services company preferred.
  • Familiarity with Asana or similar tools required.
  • Certifications in project management (Agile, PMI, Scrum) are a plus.
