What You'll Do 🎯

  • Own front desk operations, serving as the first point of contact for guests and employees while ensuring a professional, secure, and welcoming workplace experience.

  • Coordinate end-to-end onsite interviews, including scheduling, panel confirmations, and day-of hosting.

  • Manage guest check-in and hospitality, protecting confidentiality and accessibility needs.

  • Prepare candidate materials and rooms, ensuring on-time starts and smooth arrivals.

  • Coordinate vendors for cleaning, catering, and maintenance; handle mail, shipping, and track tickets to resolution.

  • Keep supplies, snacks, and amenities stocked, prevent stockouts through proactive inventory tracking.

  • Priorities workplace and recruiting requests, set clear ETAs, and close the loop on outcomes.

What You'll Bring 💡

  • Some experience in workplace, recruiting coordination, hospitality, or similar operational support roles.

  • Comfort with Google Workspace, Slack, and calendar scheduling quick to learn ATS and visitor tools.

  • Strong organization and follow-through, with accuracy in checklists, records, and inventory tracking.

  • Clear, professional communication with candidates, employees, vendors, and cross-functional partners.

  • Discretion handling sensitive information and an inclusive, hospitality-first mindset.

  • Basic procurement and budgeting skills, including comparing quotes and reconciling deliveries.
