In this role, you will be the organisational backbone of our team and contribute to creating a smooth and professional daily workflow.
You will work closely with our team and our partners, coordinate internal and external meetings, take care of travel bookings and travel expense accounting.
The organisation of our company events is also the responsibility of the Team Assistant Department. You will be able to actively contribute to this and ensure unforgettable moments.
YOUR TASKS
- Be the friendly first point of contact by welcoming and supporting clients and guests and act as a point of contact for Team.
- Handle incoming and outgoing mail, manage email correspondence, and keep files and documents organised and accessible.
- Booking and coordinating business travel and managing travel expense reports and supporting the leadership team.
- Preparing and following up on meetings, including organising documents and presentations.
- Coordinate calendars and schedule meetings, conferences, and events – including invitations, venue booking, catering, and technical setup.
- Check and process expense reports, support with incoming invoices, and assist on other finance-related topics.
- Assist with office operations: order supplies, coordinate external suppliers, monitor deliveries and returns, and help ensure the office runs smoothly.
- Prepare IT equipment for new starters, manage hardware hand-outs and returns, in collaboration with the internal IT team.
- Actively contribute to internal projects and initiatives that strengthen collaboration and team culture.
