Job Overview

  • Effectively manages the Health Care Center and Assisted Living Nursing Department staff schedule and timekeeping. 
  • Accurately and effectively manages and maintains the nursing department staff schedule in the electronic scheduling system within required staffing guidelines. Ensures each unit is adequately staffed. Finds replacement personnel to cover staffing needs as necessary. Updates schedule as needed. 
  • Accurately completes daily timekeeping for the nursing department employees in the timekeeping system.  
  • Completes and maintains the daily staffing reports. 
  • Tracks nursing personnel attendance for absenteeism and tardiness trends, patterns or issues and reports such items to the Director of Nursing in a timely manner. 
  • Processes Payroll Correction Reports for the nursing department in an efficient and timely manner. 
  • Gathers information and prepares confidential and special reports including periodic compilation of statistical data for internal use as well as for use in outside agencies as directed by supervisor. 
  • Maintains adequate knowledge of Policies/Procedures in order to assist employees in completion of necessary paperwork and to answer general questions. 
  • Assists on the nursing units with clerical or nursing duties as assigned by the Director of Nursing/Designee. 
  • Recognizes safety as an important job responsibility. Follows all safety protocols and policies/procedures. Leads by example in upholding safe work practices. 
  • Answers, directs and places telephone calls and other means of communication in a courteous and professional manner and ensures that the scheduling office operates in an efficient manner. 
  • Advises supervisor of any actual or potential problem which may jeopardize the community. 
  • Maintains a courteous, professional relationship with all other organization staff, residents, and visitors. 
  • Recognizes confidential matters and does not divulge confidential information or material to anyone not authorized to receive such information.
  • Oversight of medical records requests, delegation of duties to medical records clerk. 
  • Management of the supplies ordering and inventory, reports needs and tracks budget, reporting to DON and Administrator. 
  • Provides administrative support to the Director of Nursing/nursing department. 
  • Other duties as assigned by supervisor.
