Job Overview

We are looking for an Event Support for Logistics and Organisational Service professional to complete our consultants Workforce Management Service to support the Outreach team of the European Space Agency (ESA) at their location in Darmstadt, Germany. The purpose of this Support Service is to provide the Agency with all logistical and organizational skills needed to support internal and external communication activities. The selected candidate should show integrity and professionalism.

Please note, the successful candidate will be employed by ATG Europe (or one of its subsidiaries). Furthermore, upon selection, they will be subject to a general security screening performed by an external provider (further information will be provided at the interview stage).

The successful candidate will be tasked with, but not limited to:

  • Ensure the provision of various logistic support linked to the organization and preparation of missions and meetings for the ESOC Communication Team;

  • Handle phone calls and take messages;

  • Organise and receive shipments of letters and goods;

  • Arrange video conferences;

  • Schedule monthly meetings, calendars and appointments;

  • Organise office stationery supplies, promotional merchandise storage and inventory and travel arrangements;

  • Facilitate effective internal communication within the ESOC Communication Team by participating, when requested, to meetings related to the planning of the ESOC Communication Team workflow and by ensuring proper follow-up, implementation of related decided actions and appropriate liaison with external suppliers when needed;

  • Provide, upon request, logistics support to specific ad-hoc projects and coordination with the related internal teams;

  • Ensure correct dispatch of external information requests and organise overall management of information and promotional material;

  • Ensure the provision of logistic support linked to the organisation of ESOC internal events, such as action lists preparation, follow up of open actions, documentation management organisation of meetings including preparation of agenda;

  • Support with the display updated on the ESOC video screens;

  • Maintain an appropriate filing system, shared documentation including archival and storage inventories for the ESOC Communication Team.
