About the Job

The US Payroll Specialist manages end-to-end payroll onboarding, implementation, and processing for US-based clients using Gusto.

This role ensures payroll accuracy, compliance with federal and state regulations, and a smooth client experience. In addition, you will provide executive support to the Head of Growth, helping coordinate administrative priorities that support expansion across payroll, bookkeeping, and tax services.

This is a dual-function role requiring strong attention to detail, organization, and professionalism in both client-facing payroll operations and executive support.

About the Role

You will own payroll setup and processing for multiple clients while ensuring compliance and timeliness. Success in this role comes from accuracy, proactive communication, and the ability to manage multiple deadlines without sacrificing quality.

You will also serve as a trusted administrative partner to the Head of Growth — managing scheduling, communications, and coordination tasks to help keep strategic initiatives moving forward.

This role requires discretion, structure, and strong time management.

What You’ll Do

Payroll Setup & Processing

  • Handle full-cycle payroll setup and ongoing payroll processing using Gusto.

  • Manage employee onboarding, terminations, payroll adjustments, and updates.

  • Ensure compliance with US federal, state, and local payroll regulations.

  • Maintain accurate payroll records and documentation.

  • Identify and resolve discrepancies promptly and proactively.

  • Coordinate with clients to gather required payroll data and approvals.

Client Communication & Support

  • Serve as a primary point of contact for assigned payroll clients.

  • Communicate clearly regarding payroll timelines, requirements, and issues.

  • Support onboarding for payroll and bookkeeping clients.

  • Ensure a smooth, professional, and reliable client experience.

Executive Support to Head of Growth

  • Manage scheduling, calendar coordination, and meeting logistics.

  • Assist with email management and follow-ups.

  • Prepare reports, presentations, and documentation as needed.

  • Track priorities and support task coordination across initiatives.

  • Act as a liaison between the Head of Growth and internal/external stakeholders.

What You’ll Bring

  • Minimum 2 years of payroll processing experience (US payroll preferred).

  • Experience with payroll platforms (Gusto strongly preferred).

  • Strong understanding of US payroll compliance requirements.

  • High level of accuracy and attention to detail.

  • Strong Microsoft Office skills (Excel, Word, PowerPoint).

  • Excellent written and verbal English communication skills.

  • Ability to manage multiple clients and priorities simultaneously.

  • Comfort working in a fast-paced, growth-oriented environment.

  • Professional discretion when handling confidential information.
