TrialWatch Operations Coordinator

Key Responsibilities:
- Lead on the execution of operations for TrialWatch, including planning external-facing events, coordinating program team travel, and team retreats.
- Support TrialWatch project management, including by improving workflows to maintain compliance and maximize program outputs. This includes tracking deadlines/deliverables/milestones, maintaining contact management systems, and ensuring access to cross-program resources.
- Liaise with external HR, finance, and pro bono partners to ensure smooth coordination of TrialWatch’s operational needs and strengthen collaborative relationships.
- Following initial organizational onboarding led by CFJ’s external HR service, responsible for onboarding of personnel to the TrialWatch team, including by preparing and implementing onboardings
- Manage the day-to-day logistics and administration of trial monitoring, including sourcing and onboarding monitors, tracking trials and ensuring monitor attendance at hearings, checking in with monitors before, during and after hearings, filing monitor notes, and ensuring timely payments to monitors.
- Manage translations, including ensuring timely flow of documents between translators and the TrialWatch team and payments to translators.
- Support the TrialWatch program team and CFJ’s communications team in the production of reports and other products, and related communications and media content.
- Support TrialWatch advocacy, including by managing logistical aspects of submissions to international, regional and national bodies.
- Support the drafting, completion and submission of TrialWatch-related grant applications and progress reports.
- Serve as a member of CFJ's operations team, working closely to ensure program operations alignment with overall organizational operations, including cross-foundational projects that impact the TrialWatch team related to finance, human resources, technical, and infrastructure functions, as well as contributing to the operational design of information sharing across the wider CFJ team.
- Schedule and facilitate regular team trainings on CFJ policies and procedures and support Co-CEO, Operations and external operational service partners in executing compliance protocols for TrialWatch's personnel and operations.
- Develop budget for specific missions and track expense reports for TrialWatch team members, including reimbursements, vendor invoices, mission and travel expenses, and credit card reconciliation.
- Facilitate the execution of contracts with TrialWatch's local implementing partners and consultants and ensure timely payments by working with the program team and external financial service partners.
- Where appropriate for TrialWatch, manage reimbursement for external collaborators on a timely basis.
- Any other task or project assigned by the Director and Senior Program Managers for TrialWatch, including research projects related to TrialWatch
Required Skills & Experience
- Bachelor’s degree or equivalent
- Minimum 2+ years of experience in a similar role
- Fluency in English and outstanding written and oral communication skills
- Strong organizational and project management skills and ability to manage multiple priorities
- Strong interpersonal skills and ability to build relationships across cultures
- Entrepreneurial mindset and problem‑solving ability
- Passion for CFJ’s mission and willingness to contribute across the board as part of a small team
Preferred Qualifications & Experience
- Fluency in a language other than English
- Knowledge or prior exposure to NGOs, human rights, legal or advocacy work
- Experience managing relationships with external vendors and partners
- Prior experience coordinating travel and/or events logistics
- Prior work in international law, international relations, or business management
- Familiarity with tech and/or AI systems

Salary & Benefits
The salary for this role will be in the range of £50,000 – 60,000 GBP annually dependent on experience.
