SUMMARY/OBJECTIVE
We are seeking a detail-oriented and proactive Administrative Assistant - Woodshop with experience in D365 and Excel. This role will provide vital administrative and floor support, including preparing materials for deliveries, maintaining inventory accuracy, and ensuring smooth workflow across the manufacturing and office environments. The ideal candidate will be a collaborative team player who can adapt to a fast-paced setting and perform both administrative and hands-on tasks..
ESSENTIAL FUNCTIONS
- Operate and update D365 to track and manage inventory, deliveries, and materials.
- Use Excel for data entry, organization, and price tracking (including basic formulas).
- Prepare materials for delivery (take pictures of crates, gather item data, input into Excel, discard waste).
- Assist in organizing, labeling, and maintaining accurate inventory records.
- Support team members with administrative and operational needs.
- Move between office and shop floor tasks as required.
- Maintain a clean and safe workspace in accordance with safety guidelines.
- Perform other duties as assigned to ensure smooth daily operations.
QUALIFICATIONS
- Proficient in D365 (ERP system) and Microsoft Excel (spreadsheets, tracking & organizing materials, entering basic formulas).
- Bilingual (highly preferred).
- Strong teamwork and collaboration skills; able to follow directions and adapt to changing priorities.
- Comfortable lifting 20β30 lbs regularly.
- Experience preparing materials and performing basic documentation tasks.
- Ability to work in environments with dust, noise, and wood shop activity.
- Must wear work boots for safety.

WORK ENVIRONMENT
This position operates in a manufacturing and production floor environment. At times, machines and hand tools may create noise exposure that is within sound level parameters. This role routinely uses standard casting, soldering, and polishing equipment, and hand tools.
PHYSICAL DEMANDS
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to stand for prolonged periods of time, some sitting, and some walking. Employees will be expected to repeat many of the physical motions throughout the shift which may include the use of their feet, legs, arms, wrists, hands, and/or fingers. Employees will operate a variety of equipment and hand tools in a repetitive manner requiring a high degree of manual dexterity and close visual attention. The employee must be able to carry and/or lift to 50 lbs if needed.
