Job Summary: The Operations Coordinator plays a critical role in supporting daily manufacturing operations through documentation control, operational coordination, reporting support, and cross-functional communication. This position helps maintain operational organization, production accuracy, and accountability across departments while supporting the fast-paced needs of a food manufacturing environment. The ideal candidate is highly organized, detail-oriented, adaptable, and capable of managing multiple priorities while maintaining professionalism and accuracy in a dynamic operational setting.
Key Responsibilities and Skills:
· Support daily manufacturing operations through effective communication and operational organization.
· Serve as a communication bridge between production, quality control, inventory control, and operations leadership.
· Assist in maintaining smooth operational workflow through proactive coordination and follow-through.
· Adapt quickly to changing production priorities and operational needs.
· Maintain accurate and organized production and operational records.
· Review operational paperwork for completeness and accuracy prior to processing.
· Follow up respectfully on missing or incomplete documentation.
· Escalate unresolved documentation or compliance concerns to Operations Manager as needed.
· Ensure operational records are maintained in accordance with company standards and procedures.
· Assist with supporting QA and operational compliance documentation.
· Assist with KPI tracking and operational reporting.
· Maintain and update operational spreadsheets and reporting tools.
· Support data accuracy and reporting consistency across departments.
· Help identify discrepancies or missing information within operational records.
· Utilize ERP system to maintain accurate operational information and records.
· Maintain organized electronic and physical documentation systems
· Utilize Microsoft Suite, task management programs and related systems to support operational coordination
Education and/or Work Experience Requirements:
· Minimum 2 years of experience in operations support, manufacturing administration, production coordination, or related administrative roles, preferably within a manufacturing or food production environment.
· Experience working with ERP systems or operational software platforms
· Experience supporting KPI reporting or operational metrics
· Proficient in Microsoft Office, including intermediate to advanced Excel skills
· Strong organizational skills and high attention to detail
· Ability to manage multiple priorities in a fast-paced manufacturing environment
· Strong written and verbal communication skills
· Ability to work independently while also collaborating effectively within a team environment
· Professional problem-solving and escalation awareness
· Bilingual English/Spanish preferred
Physical Requirements and Working Conditions:
· Work is primarily performed in an office environment located within an active manufacturing facility.
· Ability to sit for extended periods while working at a desk and computer.
· Frequent use of a computer, keyboard, mouse, telephone, and other standard office equipment.
· Ability to read information from computer screens, reports, forms, and other business documents.
· Frequent verbal communication with employees, visitors, vendors, and other stakeholders in person and by phone.
· Ability to stand and walk for short periods during the workday.
· Occasional lifting, carrying, pushing, or pulling of office materials and supplies weighing up to 30 pounds.
· Occasional exposure to a manufacturing environment, including varying temperatures, machinery noise, dust, odors, and food production activities.
· Ability to perform the essential functions of the position with or without reasonable accommodation.
Other Duties:
· Follow food safety and quality protocols.
· Follow GMPs (Good Manufacturing Practices), housekeeping and safe work practices.
· Other duties as assigned.
