Job Overview
You will work directly with the Office Manager and Facilities Coordinator to provide a range of services to users of the office. Not limited to:
- Provide day to day support for all aspects of facilities management
- Ensure all equipment/technology is in working order and report when required
- Ensure a safe working environment for all floor occupants
- Resolve any logistical issues and escalate to Office Manager
- Do floor walks and audits to ensure tidiness including ad hoc spot cleaning when required
- Monitor beverages and fruits and restock refrigerators throughout the building
- Perform basic building repairs daily, replace light bulbs and perform other regular maintenance of the premises as needed
- Move furniture such as desks, tables, chairs and boxes
- Sort and distribute mail and packages
- Assist new hires setting up office space
- Provide support to annual asset inventory
- Maintain the archiving
- Work closely with receptionists (preparing meeting rooms, handling mail, etc.)
- Proactively deal with enquiries and requests in a timely and professional manner
- Ensure that all maintenance/cleaning issues are reported to the Office Manager and logged on internal systems daily and followed up on the progress
- Monitor cleanliness of kitchen and toilettes
- Ensure that all printers are checked, and paper is restocked
- Ensure that all cupboards are tidy
- Monitor stationery supplies, requesting new stocks as per procedure
- Keep an accurate stock count of various consumables
- Liaise with suppliers
- Deal with any ad hoc duties as required
