Job Overview

You will work directly with the Office Manager and Facilities Coordinator to provide a range of services to users of the office. Not limited to:

  • Provide day to day support for all aspects of facilities management
  • Ensure all equipment/technology is in working order and report when required
  • Ensure a safe working environment for all floor occupants
  • Resolve any logistical issues and escalate to Office Manager
  • Do floor walks and audits to ensure tidiness including ad hoc spot cleaning when required
  • Monitor beverages and fruits and restock refrigerators throughout the building
  • Perform basic building repairs daily, replace light bulbs and perform other regular maintenance of the premises as needed
  • Move furniture such as desks, tables, chairs and boxes
  • Sort and distribute mail and packages
  • Assist new hires setting up office space
  • Provide support to annual asset inventory
  • Maintain the archiving
  • Work closely with receptionists (preparing meeting rooms, handling mail, etc.)
  • Proactively deal with enquiries and requests in a timely and professional manner
  • Ensure that all maintenance/cleaning issues are reported to the Office Manager and logged on internal systems daily and followed up on the progress
  • Monitor cleanliness of kitchen and toilettes
  • Ensure that all printers are checked, and paper is restocked
  • Ensure that all cupboards are tidy
  • Monitor stationery supplies, requesting new stocks as per procedure
  • Keep an accurate stock count of various consumables
  • Liaise with suppliers
  • Deal with any ad hoc duties as required
