Job Overview

Transaction & Matter Support

  • Assist with the preparation, review and management of property transaction documents, including:
    • Contracts for sale and purchase
    • Leases and licences
    • Disclosure documents
    • Ancillary transaction documents
  • Conduct title, planning and statutory searches and analyse results
  • Conduct ASIC, insolvency and litigation searches and analyse results
  • Coordinate with land registry services to lodge/attend to requisitions of lodged documents
  • Coordinate with stamping providers (for example Infotrack) to arrange for stamping of documents 
  • Support due diligence processes (including property portfolios and large-scale transactions)
  • Assist with transaction coordination, including managing critical dates and conditions precedent

Conveyancing (if Licensed Conveyancer)

  • Manage end-to-end commercial conveyancing files, including:
    • Contract preparation and review
    • Client and counterparty liaison
    • Electronic settlements (including PEXA and PEXA Projects)
    • Settlement adjustments and completion statements
  • Ensure compliance with NSW property law and regulatory requirements

Client & Stakeholder Management

  • Act as a key point of contact for clients, agents, and external stakeholders
  • Liaise with banks, brokers, land registry services, third party providers and government authorities
  • Maintain high standards of client service and responsiveness

Administration & Process

  • Maintain accurate file records and document management
  • Track key milestones and ensure timely progression of matters
  • Assist with billing processes and matter management
  • Support continuous improvement of property processes, templates and systems
