Junior Operations Executive

Job Overview

The Operations Executive plays a key role in ensuring the smooth and efficient day-to-day running of office operations at Cloud Solutions International. This position is responsible for managing procurement activities, maintaining facilities, coordinating administrative functions, and supporting cross-functional teams such as HR, Finance, and IT to deliver operational excellence across the organization.

Procurement & Vendor Management

  • Handle end-to-end procurement processes in line with company requirements.

  • Devise and implement effective procurement and sourcing strategies to achieve cost efficiency and quality standards.

  • Identify, evaluate, and establish relationships with reliable suppliers and vendors.

  • Negotiate competitive terms and agreements to secure advantageous outcomes.

  • Prepare and process purchase orders, quotations, and comparative tabulations.

Office & Facility Management

  • Oversee total office maintenance and coordinate all repair and installation activities.

  • Conduct regular facility inspections to identify and resolve issues proactively.

  • Liaise with landlords and service providers to ensure all office facilities are well maintained.

  • Ensure compliance with company health and safety policies and standards.

Administrative & Financial Support

  • Manage and record company petty cash with accuracy and accountability.

  • Maintain and distribute office supplies and fixed asset registers.

  • Supervise administrative and support staff, including cleaning and pantry operations.

  • Support company budgeting and bookkeeping procedures in collaboration with the Finance team.

  • Ensure smooth coordination for daily staff needs including meal and beverage distribution.

Cross-Functional Coordination

  • Coordinate with HR on staff onboarding and exit processes, ensuring all administrative requirements are met.

  • Supervise and coordinate administrative and cleaning staff, ensuring efficient task allocation and completion.

  • Liaise with IT vendors and service desks to resolve technical issues and coordinate maintenance for office equipment.

  • Provide operational support to HR, Finance, and other departments as required.

  • Manage all incoming and outgoing correspondence, including mail, phone calls, and courier dispatches, ensuring timely handling and delivery.
