This role is located onsite at our Santa Clara, CA headquarters.
Key Responsibilities:
Support executive and senior leadership team to ensure smooth day-to-day executive operations and alignment on key priorities.
Manage complex and fast-moving calendars across multiple leaders, thoughtfully prioritizing meeting requests and coordinating across internal and external stakeholders.
Anticipate needs by looking ahead across schedules, projects, and milestones, proactively identifying conflicts and helping leaders stay focused on high-impact work.
Prepare executives for meetings by organizing agendas, briefing materials, and presentations, and tracking action items to ensure follow-through.
Coordinate domestic and international travel logistics, including detailed itineraries and seamless calendar integration.
Support leadership meetings, executive offsites, and company events by coordinating logistics, materials, and follow-ups.
Manage expense reporting and administrative processes with accuracy and attention to company policies.
Serve as a key liaison between executives and internal and external partners, ensuring communication flows clearly and efficiently.
Identify opportunities to streamline processes, improve systems, and enhance operational effectiveness across the leadership team.
Minimum Qualifications:
Have 5+ years of experience supporting senior leaders in an Executive Assistant, Executive Business Partner, or similar role.
Have successfully supported multiple executives with competing priorities in a fast-paced environment.
Are highly organized and detail oriented, with strong systems for managing calendars, tasks, and follow-ups.
Are proactive and able to anticipate needs, think several steps ahead, and address potential issues before they arise.
Communicate clearly and effectively, and can tailor messaging appropriately for different audiences and stakeholders.
Exercise strong judgment and discretion when working with confidential or sensitive information.
Have experience coordinating complex travel, meetings, and executive expenses in a fast-moving environment.
Are comfortable learning and using modern productivity tools (e.g., Google Workspace and other operational software) and enjoy working in a collaborative startup environment.
Willing to occasionally travel.
Must have and maintain US work authorization.
Preferred Qualifications:
Bachelor’s degree preferred.
Experience supporting C-level or senior leadership teams in a startup or high-growth company.
Experience preparing executive presentations and leadership materials.
Advanced proficiency with Google Workspace and productivity tools.
Experience coordinating executive offsites, leadership meetings, or company events.
The base salary range for this position is $140,000-$155,000 plus equity and comprehensive benefits. Our salary ranges are determined by role and experience level. The range reflects the minimum and maximum target for new hire salaries for the position in the noted geographic area. Within the range, individual pay is determined by additional factors, including job-related skills, experience, and relevant education or training.
