About the Role:
We’re looking for a Workplace Operations Manager to lead the setup of our new Barcelona office—from design handover to move-in and daily operations. This role offers the unique chance to build and shape a workspace from the ground up, working closely with the General Manager, as well as design, construction, and vendor partners. Once the office is up and running, you’ll oversee workplace operations and procurement, ensuring a smooth, efficient, and people-first environment that supports Codeway’s growth.
Key Responsibilities:
Office Setup & Project Coordination
◦ Lead the full operational setup of Codeway’s new Barcelona office, from design and construction follow-up to operational handover.
◦ Liaise with architects, contractors, and facility partners to ensure timelines, budgets, and quality standards are met.
◦ Coordinate all logistics related to furniture, IT, and infrastructure installations.
◦ Manage move-in and post-move stabilization phases.
Workplace Operations
◦ Lead the full operational setup of Codeway’s new Barcelona office, from design and construction follow-up to operational handover.
◦ Liaise with architects, contractors, and facility partners to ensure timelines, budgets, and quality standards are met.
◦ Coordinate all logistics related to furniture, IT, and infrastructure installations.
Manage move-in and post-move stabilization phases.
Procurement & Vendor Management
◦ Execute sourcing and procurement strategies for all office-related goods and services.
◦ Conduct vendor selection, negotiations, and contract management with an eye for quality, reliability, and cost efficiency.
◦ Manage purchase orders, approvals, and supplier performance metrics.
Identify cost-saving opportunities and ensure transparent procurement practices.
Budgeting & Cost Control
◦ Build and monitor the workplace operations budget, covering rent, utilities, and service costs.
◦ Collaborate with Finance on reporting and forecasting.
Employee Experience
◦ Create a workspace experience that reflects Codeway’s creative and high-performance culture.
◦ Be the go-to person for any office-related needs — ensuring employees have the tools, comfort, and environment they need to do their best work.
◦ Support internal events, team gatherings, and wellness initiatives.
Qualifications:
◦ 5+ years of experience in workplace operations, office management, or procurement within a fast-paced organization (tech/startup experience preferred).
◦ Proven track record of managing office setups or relocations from start to finish.
◦ Strong understanding of procurement processes, vendor management, and contract negotiation.
◦ Experience coordinating multiple external stakeholders (landlords, design/build firms, vendors, legal, etc.).
◦ Excellent project management, budgeting, and organizational skills.
◦ Fluent in English; Spanish proficiency required (Catalan a plus).
◦ Tech-savvy: comfortable with Google Workspace, Excel, and task management tools.
◦ Hands-on, detail-oriented, and thrives in an entrepreneurial, fast-scaling environment.
