The HR Operations Coordinator provides comprehensive support to the HR Operations Manager in executing daily HR processes, maintaining accurate employee data, and ensuring full compliance with company and legal requirements.

This position is ideal for someone detail-oriented, organized, and proactive — who enjoys building structure, solving operational challenges, and contributing to a strong HR foundation in a fast-paced environment.

Requirements

Key Responsibilities:

HR Data & Systems Management

  • Enter and update employee information in HRIS and internal databases.
  • Regularly audit and verify employee data for accuracy and compliance.
  • Prepare and maintain standard HR reports (e.g., headcount, employment type, documentation completeness).

Documentation & Compliance

  • Collect and track all required employee documentation and ensure completeness.
  • Maintain an organized and up-to-date digital document structure on Google Drive.
  • Prepare, manage, and archive employment-related letters, templates, and forms.
  • Ensure HR records comply with internal policies and legal standards.

Legal & External Partner Coordination

  • Act as the main point of contact with external legal agencies regarding employment contracts, work permits, and legalization processes.
  • Monitor and report progress on all ongoing legal or compliance cases.
  • Follow up proactively on deadlines, renewals, and missing documentation.

Employee Coordination & Communication

  • Communicate with employees to collect documents and clarify process requirements.
  • Support onboarding and offboarding documentation and ensure process consistency.
  • Provide information and guidance to employees on HR policies and administrative procedures.

Qualifications:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • 2-4 years of experience in HR operations, HR administration, or similar roles.
  • Familiarity with HR systems and data management tools (Google Workspace, Excel/Sheets).
  • Strong understanding of HR documentation, compliance, and employee lifecycle processes.
  • Excellent written and verbal communication skills in English
  • High attention to detail, organization, and accuracy.
