Our Client is a prestigious company operating in the Oil & Gas sector.
FUNCTION
Reporting directly to One Company Chief Medical Officer and the Director General Secretariat, the main activities of the function include the following tasks: to ensure compliance with all relevant HSE requirements across works to promote a healthy and safe work environment; follow up on administrative duties for the team such as preparation of mission orders, expense forms, leave schedules, timesheets; to coordinate the implementation of medical fitness for work program liaising with medical service providers to ensure assessments are scheduled, conducted and results delivered on time; maintain a database of network of clinics approved to conduct fitness for work exams for the site in Maputo and other provinces in Mozambique; administer the medical fitness certificate (MFC) section of the travel management system – DaWinci, ensuring all personnel employees and contractors upload their certificates; verify validity of MFC and cross-checks to confirm pre-approval from the company's doctors; review daily charter flight manifests to site and approve MFC for company and contractors on Dawinci, enabling personnel to travel to Cabo Delgado; coordinate delivery of first aid training for site employees and organic contractors at all offices; liaise with C&P for procurement processes related to medical supplies and services; handle stock records, requisition orders and follow up accordingly in SAP; collect and electronically archives reports from project medical services providers; coordinate and maintain records for health and hygiene inspections and audits conducted at project facilities; maintain electronic records of all health programs, procedures and plans; actively participate and follow up on the organization of all required events; be responsible for the content, coordination and deployment of health awareness and promotion initiatives and campaigns; composing, typing, and distributing meeting notes, routine correspondence and reports, memos etc.; carry out any other duties that may be assigned to him/her by the line manager.
Requirements
- Bachelor’s degree in health sciences, Engineering, or equivalent;
- Minimum 3 years’ experience in administrative and secretarial work including but not limited to drafting reports, organizing meetings, travel and accommodation booking;
- Advanced experience and knowledge in database management including MS access, word, project, excel and power point;
- Very good command of the English language (written and spoken);
- Fluency in Portuguese is an advantage;
- Possess various skills such as rigor, sense of organization, ability to anticipate;
- Living in the local area of the job will be an advantage.
