- Assist in the creation and implementation of a new database to creatively manage track for visa, work permit, and blood test information.
- Assist Visa section team with the day to day running of Compliance Administration responsibilities.
- Ensure the database allows for easy input, retrieval, and reporting of data.
- Regularly update the database with accurate information to support operational needs and compliance.
- Ability to scan and transcribe a high volume of data from a variety of sources into a computer database.
- Research, analyse and sort information as needed.
- Review data being entered from source documents to ensure accuracy and completeness.
- Investigate discrepancies, fill gaps in incomplete records, and resolve other problems.
- Actively monitor and follow up on cash and e-payments, utilizing both electronic payment systems and cash transactions.
- Keeping a record of hard copy data such as receipts, letters for FM, and other financial documents.
- Ensure timely uploading and saving of issued visas to maintain compliance and support operational processes.
- Organize and categorize documents to ensure easy retrieval and efficient workflow within the department.
- Generate reports summarizing visa and work permit activities, financial transactions, and any outstanding issues.
- Collaborate with team members to ensure timely processing of applications.
- Oversee the tracking and management of financial margins related to visas and work permits, ensuring timely updates and accurate documentation.
- Take on board, complete, and report any task requested by the line manager and the direct supervision.
- Adhere to control Risks Policies in accordance with local (GOI and MOI) and all control risks policy.
- Follow all Visa, Work Permits and MOH activities in accordance with local (GOI and MOI).
- Delivery of Compliance support in accordance with policy, procedure and QMS requirements
Requirements
- Minimum of one year experience in a similar role.
- Knowledge of Iraq employee legislation.
- Bachelor's degree.
- Proven experience in data entry or administrative roles.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and data entry software.
- Excellent attention to detail and ability to work with precision.
- Strong organizational and time management skills.
- Ability to handle sensitive information with discretion and confidentiality.
- Good communication skills, both written and verbal.
- Well-organised in a pressured environment of changing priorities and deadlines.
- Proactive and able to take initiative.
- Attention to detail.
