Candidate profile:
- Dedicated and personable professional capable of managing front-desk operations and providing exceptional customer service.
- Able to handle a variety of tasks with a high degree of attention to detail and discretion.
- Ensure a welcoming environment for all visitors and staff.
Responsibilities
- Serve as the primary point of contact for guests, employees, job candidates, and vendors, ensuring a positive first impression.
- Manage and support the front-desk and reception areas, including answering and directing phone calls, greeting visitors, and handling inquiries.
- Maintain a visitor log and issue visitor badges as necessary.
- Perform general administrative tasks, such as handling email, files, meeting minutes, mailings, and deliveries.
- Coordinate meeting-room calendars and schedule appointments.
- Keep reception and communal areas clean, stocked, and organized.
- Order office supplies, maintain inventory, and ensure equipment is operable.
- Maintain filing system, contacts database, employee lists, and inventories.
- Assist in coordinating on-site and off-site team events as needed.
- Provide administrative and clerical support to office staff and departments.
- Manage incoming and outgoing mail and deliveries.
- Be a proactive self-starter with excellent communication and organizational skills.
- Strong attention to detail and the ability to multitask effectively.
- Assist with basic bookkeeping tasks such as processing invoices and expenses.
- Provide ad-hoc support to staff members and departments.
Requirements
- Proven experience as a receptionist or in a similar role.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite and other relevant software.
- Ability to prioritize tasks and work efficiently in a fast-paced environment.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- High degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.
