Your primary responsibilities will be to ensure client portfolios are updated and maintained with a high degree of accuracy and responding to portfolio related requests from both internal and external stakeholders in a timely manner. Reporting to the Client Services Manager, you will work closely alongside the Client Services and Portfolio Analyst teams to achieve exceptional client outcomes.
Your primary responsibilities will be to ensure client portfolios are updated and maintained with a high degree of accuracy and responding to portfolio related requests from both internal and external stakeholders in a timely manner. Reporting to the Client Services Manager, you will work closely alongside the Client Services and Portfolio Analyst teams to achieve exceptional client outcomes.
Responsibilities
- Ensuring portfolio data is kept up to date and accurate.
- Investigating and resolving portfolio discrepancies with urgency.
- Liaising with external parties such as Fund Managers and Accountants.
- Responding to reporting requests in a timely manner.
- Assisting the Portfolio Analyst team with preparation of reviews, as needed.
- Ongoing fee calculations and fee remediation.
- Managing Wholesale Certificate renewals to comply with Wholesale Licence requirements.
- Assisting the Client Services Associates with various tasks, such as capital calls and regular payments.
- Designing, implementing, and improving portfolio administration processes.
- KPI’s
- Update external asset unit pricing within the agreed timeframe while maintaining a high level of accuracy.
- Write external assets into portfolios on time with consistently high accuracy.
- Complete tax reporting and portfolio reporting requests efficiently, measured by days taken.
- Assist with capital calls and record these in portfolios promptly, measured by turnaround time.
- Contribute to special projects, including the CFS transition, with performance measured by overall group efficiency.
- Keep wholesale certificates current by monitoring expiries and maintaining accurate CRM reporting.
- Maintain strong portfolio administration records by upholding accurate and reliable record keeping.
- Complete all intelliHR requirements each quarter and stay actively engaged with the HR partner.
- Use the firm’s core systems effectively, ensuring correct feature usage, timely data updates, high-quality information, regular logins, and strong user metrics.
To be successful in this role, you will have:
- Skills and Experience
- Proven experience in portfolio administration, wealth management, or a related financial services environment, with a strong focus on accuracy and attention to detail.
- Solid understanding of investment products, external asset pricing, and portfolio structures.
- Experience liaising with external parties such as fund managers, accountants, and custodians.
- Proficiency in portfolio administration systems, CRM platforms, and financial planning software, with the ability to adopt new tools and processes quickly.
- Demonstrated capability in process improvement and contributing to special projects to enhance team efficiency.
- Relevant tertiary qualifications in finance, business, or related fields preferred.
- Soft Skills
- Strong communication skills, both written and verbal, to effectively interact with internal teams and external stakeholders.
- Strong analytical and problem-solving skills, including the ability to investigate and resolve portfolio discrepancies efficiently.
- Ability to manage multiple priorities and meet deadlines in a fast-paced, client-focused environment.
- High level of integrity and commitment to acting in the best interests of clients.
