Job Overview

We are looking for a dynamic People and Culture Assistant is responsible for maintaining accurate team member time records, managing attendance tracking systems, and ensuring proper documentation of team member’s information. The role supports operational HR processes by ensuring compliance with company policies, maintaining team member data integrity, and assisting with administrative HR functions related to workforce management.
 
The role also supports the maintenance and smooth operation of HR-related systems, ensuring timely updates, data accuracy, and assisting team members with system-related queries where required. Additionally, the role involves supporting early morning operational monitoring by reviewing team member logins, tracking attendance in relevant systems, and proactively informing the Customer Success team of any delays or discrepancies to ensure accurate reporting and seamless coordination with clients.

Additionally, the role involves supporting early morning operational monitoring by reviewing team member logins, tracking attendance in relevant systems, and proactively informing the Customer Success team of any delays or discrepancies to ensure accurate reporting and seamless coordination with clients. 

Duties and Responsibilities

    Time & Attendance Management 
  • Monitor and manage team members time tracking and attendance systems. 
  • Review and verify daily attendance, leave records, and working hours.
  • Monitor early morning team member logins and attendance records in relevant systems. 
  • Proactively inform the Customer Success team of login status, delays, or discrepancies. 
  • Coordinate with managers to resolve time discrepancies or missing entries. 
  • Generate and share attendance reports for payroll and management review. 
  • Alert the revenant team leads or customer success lead on any unavailability of the team members. 
  • Monitor and analyze system performance, coordinating with developers to ensure smooth operations. 
  • Team member Records Management 
  • Maintain and update team members personal files and HR documentation. 
  • Ensure accurate data entry and record maintenance in all systems. 
  • Manage team members records related to contracts, confirmations, transfers, and exits.
  • Ensure confidentiality and security of team member information. 
  • Informing and handling escalation in the systems records and any bug to the relevant team. 
  • Monthly Evaluation & Reporting
  • Maintain the monthly team member evaluation tracking system. 
  • Follow up with managers to ensure timely completion of evaluations. 
  • Compile evaluation data and support People & Culture reporting and insights. 
  • Maintain proper documentation of team members performance records. 
  • HR Administrative Support
  • Assist in onboarding documentation and team members record creation. 
  • Respond to queries related to attendance, leave balances, and HR documentation. 
  • Any HR admin related support for the team members in early morning coverage. 
  • Assist in planning and coordinating People & Culture initiatives and engagement activities. 
  • Support the organization and execution of internal events, workshops, and team gatherings. 

Required Experience/Skills

    Experience
  • Bachelor’s degree in Human resources, Business Administration, or a related field. 
  • 1–3 years of experience in HR administration, HR operations, or team member records management. 
  • Skills & Competencies
  • Strong attention to detail and accuracy. 
  • Good organizational and documentation skills. 
  • Strong communication and coordination skills. 
  • Ability to handle confidential team member information responsibly. 
  • Ability to work independently and support early operational requirements. 
  • Ability to multis task in a fast space environment. 
  • Software/Systems
  • Must have: Microsoft Office suite proficiency. 
  • Good to have: Customer relationship skills, outgoing personality. 
  • Proficiency in Microsoft Excel and HR systems. 
  • The ability to learn IT basics, systems and able to complete Azure fundamentals.
