Duties and Responsibilities
- Administrative & Documentation Support
- Act as a dedicated file assistant to the Team Lead for the purpose of preparing/lodging migration applications
- Gather client documentation based on defined lists of requirements
- Access and manage documents across online drives, portals, Microsoft Teams, and physical files where required
- Review, rename, format, and edit documents to meet business, compliance, and government portal standards
- Prepare clear summaries of all evidence provided by clients for internal use and submission purposes
- Mark documentation for Team Lead review, identifying what is complete, what requires amendment, and what is outstanding
- Document Review & Quality Control
- Review client‑provided statements and supporting documents against business requirements Identify inconsistencies across timelines, statements, and evidence, and clearly mark these in Microsoft Word for review
- Think laterally where partial or conflicting documentation is provided by multiple parties
- Ensure amendments are returned by clients before progressing documentation to the next stage
- Communication & Coordination
- Draft/Prepare initial emails to request documentation from clients for the internal Team Lead’s Review.
- Communicate directly with clients to obtain required documents on approval by Team Lead
- Provide daily task notes and updates to the Team Lead via Microsoft Planner, chat, or internal systems.
Required Experience/Skills
- Essential - Previous experience in an administrative, migration agent, or coordination role - Australian Visa Applications prior knowledge or Global migration experience: UK, US and Canada No migration experience but legal knowledge on property law, conveyancing. Administration with a business degree, key concept: sending a list of documents, competency to read and interpret, audit naming conventions etc.
- Desirable - Experience in a migration, legal, or professional services environment - Exposure to case‑based work, applications, or client file management. Experience supporting senior professionals (e.g. migration agents, lawyers, consultants). Familiarity with document‑heavy or compliance‑focused workflows
Tools/Systems Essential:
- MS Office Suite: Word, Excel, PowerPoint advantageous
- MS Teams
- MS Planner
Tools/Systems Preferred/Nice to have:
- A law degree would be advantageous
- Immigration experience
