Job Overview
The Sales and Administration Support Officer are responsible for providing comprehensive support across sales, technical, and administrative functions within the business. This role requires proficiency in Professional Services Automation (PSA) software, Enterprise Resource Planning (ERP) software, and various Microsoft suite applications.
As part of this role, you will:
• Deliver outstanding customer service throughout the sales process.
• Engage with vendors to procure quotes and products.
• Support the sales, technical and administration teams to achieve outstanding customer satisfaction.
This position requires strong communication skills (written and verbal), self-motivation, organizational abilities, and time management. Prior experience in sales and/or administration is essential. Experience in a reseller environment and/or experience with Dynamics 365 Business Central will be highly regarded.

Duties and Responsibilities:
- 1. Sales Support
- Monitor, maintain, and respond to items received in the sales email inbox.
- Answer incoming calls and assist customers with inquiries.
- Liaise with vendors to procure quotes, request products and complete deal registrations.
- Provide updates to sales and technical staff regarding order status, backorders, and estimated delivery times.
- Import won quotes into ERP software to create customer jobs and vendor purchase orders. Maintain and action updates on orders, receipt stock, and invoice customers.
- Coordinate Market Development Funds (MDF) and Co-Op programs with vendors.
- Assist in preparations for conferences and S5 events.
- 2. Administration Support
- Assist with data entry of supplier invoices and account reconciliations under the Administration Manager’s guidance.
- Assist with end of month (EOM) procedures under the Administration Manager's guidance.
- 3. Risk Management & Compliance
- Ensure that compliance requirements and insurance records remain up to date on Government Supply Panel portals. eg Public Liability, Professional Indemnity and Workers Compensation insurances at time of renewal.
- Assist in ISO (9001,14001 & 27001) compliance, including documentation of policies and procedures.
- Support the compilation of materials required for Government procurement tenders.
- Maintain strict confidentiality and data security protocols when handling sensitive customer and business information, ensuring compliance with relevant privacy laws and company policies.
- 4. Communication & Reporting
- Liaise with customers, vendors, and partners to coordinate seamless service delivery.
- Maintain open communication with the Operations Manager and Administration Manager to support efficient day-to-day operations
