Guest Billing Specialist

Position Summary

The Guest Billing Specialist serves as a liaison for guests with inquiries related to charges posted to their room folio and other onsite credit card charges. This role researches and investigates billing questions and works to resolve concerns in a clear and thoughtful way, supporting a positive guest experience after departure.

Essential Duties and Responsibilities

• Communicate effectively with guests, management, staff and co-workers, while providing highest quality of customer service available.
• Assist appropriate inquiries with golf, lodging and food & beverage billing questions.
• Work with all departments to correct billing discrepancies, while gathering pertinent customer information.
• Provide guests with additional information and issue refunds in alignment with company policy.
• Assure that departing guest records are accurately maintained and that established policies and practices are consistently followed.  Assure that procedures are consistent with company policies.
• Maintain confidential and organized billing files.
• Integrate with central reservations in handling reservations calls, book tee-times and lodging, and respond to guest emails as needed. Provide support in pre-arrival billing processes.
• Retain the utmost knowledge of the property and its history, management personnel and their functions.
• Perform other duties as needed, including but not limited to data entry and administrative tasks.

Qualifications

• High school diploma required; college degree preferred.
• Proficiency in Microsoft Office: Outlook, Word, Excel and Google Docs.
• Ability to learn Agylisis property management/reservations software and other resort systems.
• Strong math skills, clear written and verbal communication, and a professional, positive approach to problem-solving.
• Ability to manage multiple responsibilities under pressure, stay organized with minimal supervision, and collaborate naturally with guests and team members.
• Must be able to work flexible hours including evenings and weekends as needed.

Physical Requirements

• This role is primarily office-based, though you may move between the billing office and other resort areas. You'll spend most of your time at a desk using a computer, with occasional standing and walking as you gather information from different departments.
